This role is for the academic year (Fall Spring 2025)

.The Guest Registration team plays an important role in Western's Housing Operations portfolio. The Guest Registration team are responsible for supporting Housing's Visitor Policy, by ensuring the students entering Western's main campus residences are registered residence students and registered guests.

Guest Registration Leader will coordinate the setup of Guest Registration stations, and assist with troubleshooting technical issues of Guest Registration computers.

Guest Registration Leader will provide assistance to Guest Registration staff before escalating to concerns when required. Guest Registration Leader will be expected to work between a few buildings providing support to different team members.
When guests are permitted, Guest Registration staff are responsible for the registration of overnight and weekend guests.

Guest Registration Staff will regularly review residence trespass lists and contact Front Desk Staff, Residence Life Staff and/or Western Special Constables should a problem arise.

Frequent interactions with students, guests, and parents are a key component in tracking the occupancy and capacity numbers for the building in accordance with Housing's Guest Registration Policy.


Qualifications:


  • Required training will be inperson August 19 and 20 9a5p. Regular working schedule will start September 1. Hours of work are typically Thursday, Friday and Saturday evenings from 8pm3am. Applicants must be available to work special event dates (such as Orientation Week, Homecoming, Halloween, and St. Patrick's Day).
  • Applicants must have a strong knowledge of Microsoft Windows and possess a general understanding of all Microsoft Office products. Applicants must have good customer service skills, and be fluent in both written and spoken English.

Education:


  • Secondary School Diploma
  • 12 years of postsecondary education is preferred

Experience:


  • One year in Guest Registration (or similar) role preferred
  • Minimum 2 years customer service experience or other work experience is required

Skills, Abilities & Expertise:


  • Reliable, dependable and the ability to consistently work weekends and overnight shifts, hours are typically 8pm3am Thursday, Friday, Saturday nights
  • Excellent verbal communication skills and an ability to express ideas clearly
  • Must have a strong knowledge of working in a Windows based environment
  • Strong customer service skills and an ability to deal with difficult people
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to follow processes and practices with high attention to detail
  • Good computer skills; strong aptitude in learning new software
  • Demonstrates integrity and works in accordance with Western's policies and procedures
  • Personable and courteous in working relationships with colleagues, students and the public
  • Ability to prioritize and organize a fluctuating work load
  • Ability to work independently and effectively as a member of the team to achieve department goals
  • Ability to work in a manner that is compliant with confidentiality requirements as applicable
