Job Reports To:
Associate Director, Operations


Key Activities:


  • Working under the supervision of the Associate Director, Operations, the Buyer and Maintenance Coordinator is responsible of the smooth running of the Operations department.

Responsibilities include but are not limited to:

  • Purchase materials and services for the Operation's maintenance/cleaners group;
  • Process all invoices for approval and send to accounts payables with associated purchase order;
  • Do all GRN for material that is received;
  • Negotiate Blanket Orders for fiscal year Sept to August (some are for a few years);
  • Blanket Orders: keep record of all expenses on a spreadsheet;
  • All invoices for Blanket orders to be sent to a/p and the assistant for CMSS and indicate work order number;
  • Assist with the Payroll for Housekeeping and Maintenance units;
  • Maintain the attendance register each month with all leave forms for Housekeeping and Maintenance;
  • Assist in coordinating the recertification of trade employees;
  • Keep track of Compensatory time for all employee's for Maintenance and Housekeeping;
  • File all leave forms for Housekeeping and other employees;
  • Maintain the opportunities list of overtime on a monthly basis;
  • Keep the Fire Extinguishers' list uptodate;
  • Maintain TSSA Elevator licenses (yearly);
  • Prepare Emergency Generators & Fire Pumps monthly test manpower list (every 6 month);
  • Unionized Employee Uniforms: on a yearly basis, survey employees for requirements and uniform size, purchase required stocks and send it out to be embroidered with NAC Logo;
  • Assist in maintaining the Fire Code Book uptodate.

Skill Requirements:


  • Postsecondary education in a related field or a combination of education and experience;
  • Previous experience in a Maintenance/operations centre would be considered a strong asset;
  • Knowledge of basic accounting principle an asset;
  • Strong computer skills with a good knowledge of Microsoft Suite environment and a working knowledge of Adobe;
  • Excellent record keeping and database management;
  • Strong organization, attention to detail, and research skills;
  • Excellent interpersonal, communication and negotiating skills;
  • Ability to cultivate and maintain relationships with providers;
  • Previous experience in a unionized environment will be an asset;
  • Ability to work under pressure and adapt to changing circumstances;
  • English essential; bilingualism in both official languages is an asset.
  • A passion for performing Arts an asset.
