Description
Based on the direction of the Supervisor, the Clerk A is responsible for providing customer service functions for the branch and ensures requests for services are received, recorded, and resolved wherever possible, or forwarded appropriately.
The Clerk A also provides administrative support which includes data entry and preparation of word or excel documents related to the services.
As the
_Clerk A_
you will:
- Provide excellent customer service to the public and internal stakeholders.
- Process program registration including inperson, mailin and internal registrations.
- Maintain, organize and ensure completeness of records for a variety of programs within the Branch.
- Maintain and compile pertinent information for data input, utilizing Branch database systems.
- Establish, organize and maintain highly confidential paper and electronic filing systems.
- Prepare correspondence, including letters, memos, minutes, and reports.
- Respond to 311 service and information requests within identified time frames.
- Provide general support to the operation including TKMMS, PeopleSoft HR and Finance.
- Provide coverage for other administrative support team members as required.
- Perform other duties compatible with the classification.
Your education and qualifications include:
- Grade 12 supplemented by formal training in business and office procedures or equivalent combination of education, training and experience.
- Demonstrated ability to type accurately at 40 wpm net.
- Proficient using computers including software programs such as Microsoft Office (Word, Outlook, Excel, Access at a basic level)
- Strong attention to detail with ability to ensure accuracy with data and record keeping.
- Ability to work effectively and independently with the ability to prioritize workload and meet deadlines.
- Excellent interpersonal skills, with demonstrated ability to establish and maintain positive working relationships with employees at all levels of the organization, external contacts and the public.
- Strong verbal communication skills.
- Strong written communication skills.
- Knowledge of Parks and Open Space Division and City Policies/Standards would be considered an asset.
