About the role:

We are seeking a highly organized and proactive individual to join our team as an Executive Assistant.

This role will provide crucial support to 2 key members of our executive team, and the members of their teams, helping to streamline operations, manage schedules, and facilitate communication both internally and externally.


As part of the administrative team, you'll have the opportunity to contribute to key projects, embrace new communication technologies, and capture the key points and action items in meetings, even with very complex technical discussions.

Note:
this is an onsite position 8:00am - 5:00pm Monday through Friday in-person at our Burnaby location.


What you'll do:


  • Manage calendars, scheduling meetings, appointments, and travel arrangements for the 2 executives and key members of their teams
  • Serve as the primary point of contact for 2 executives and key members of their teams for both internal and external stakeholders, including clients, vendors, and partners
  • Draft and distribute communications maintaining a high level of accuracy and professionalism
  • Facilitate communication and coordination between the departments for the 2 executives and their team members, ensuring alignment and collaboration on key initiatives
  • Plan, coordinate, and execute meetings, conferences, and events, including scheduling, material preparation, logistics, catering and meeting room setup and cleanup
  • Attend meetings as requested, taking notes, summarizing discussions, and following up on action items
  • Prepare and edit correspondence, presentations, reports, and other documents as required
  • Maintain accurate records and files, both electronic and hard copy, to facilitate easy access to information
  • Maintain accurate expense reports for 2 executives and key members of their teams
  • Manage department SharePoint sites as required
  • Assist with special projects and initiatives as assigned, providing research, analysis, and administrative support as needed
  • Responsible for Reception backup coverage as required including lunch, vacation and sick leave coverage
  • Key member of the Social Committee
  • Assist with Burnaby office events as required

What you'll bring:


  • Proven experience as an executive assistant or similar role, supporting seniorlevel executives
  • Excellent organizational and time management skills, with the ability to multitask and prioritize competing demands effectively
  • Strong communication skills, both written and verbal, with a high level of professionalism and attention to detail
  • Discretion and confidentiality when handling sensitive information and communications
  • Ability to anticipate needs, take initiative, and problemsolve independently
