Job Summary:
Coordinator, Building Operations is the first point of contact of the Innovation center for responding to repairs & modification inquiries.
Reporting to Manager Building Operations, this role is based in our Montreal, Innovation Center location and is responsible for coordinating work orders as needed.
Responsibilities:
- Ensures accurate tracking and coordination of work orders.
- Performs service calls & coordinates on site contractors.
- Creates access cards using dedicated software.
- Coordinates the organization of OHS meetings.
- Maintains fire marshals list for tenants of the Innovation Center.
- Participates actively in the coordination of emergency measures, in close collaboration with Facility team.
- Ensures the checking and replenishing of first aid kits.
- Coordinates Service & Maintenance contracts renewals & associated POs.
- Ensures the accurate and timely follow up of the Master Maintenance plan.
- Provides the backup for reception.
- Participates actively in the coordination and organization of site events.
- Provides an excellent level of response and communication with tenants for maintenance events & emergency situations.
- Ensures the continuous update of vendors contact list.
- Provides minutestaking in major projects kickoff meetings.
Qualifications:
- Minimum of 3 years working as a receptionist/ coordinator in a fastpaced environment.
- Building maintenance operations knowledge is an asset.
- Ability to multitask under mínimal supervision, with an ability to perform in a fastchanging environment.
- Proactivity and team player skills.
- Strong organizational and administrative skills.
- Strong interpersonal and communication skills.
- Good knowledge of MS Office.
- Bilingual French and English.
