Job Overview
Reporting to the Executive Coordinator, the Project Assistant provides support in areas such as project management, contract management, budget and forecasting activities and general ITS administration.
We are looking for someone who is motivated and has excellent communication, analytical thinking, problem solving and time management skills.
Most importantly, you are a team player with a great personality who sees the strength in working together to provide exceptional outcomes.
Key Accountabilities- Provides administrative support to the project teams and management, including organizing meetings, assembling meeting materials and maintaining project records and information.- Identifies changes in status, timelines, projections and resources that present risks and opportunities through the continual review of the project plan and reports.- Organizes and scribes integration meetings, documents issues, decisions and actions for follow up and reporting.- Prepares technical reports such as network diagrams, environment management dependencies, Gantt charts and work breakdown structures.- Creates purchase requests/purchase orders for contracts, maintaining a library of contract documents and a log of contracts with summary information, in accordance with BCA policies.- Tracks expenditures by contract, maintaining a log of all invoices and financial status of each contract, with charges correctly allocated against each project.- Designs and produces executive/stakeholder presentations, informational brochures, public education material or other promotional materials.- Provides training on project administrative and software tools, templates, and procedures to other staff.- Sets up and maintains multiple user project tracking systems.- Recommends project administration standards and practices.

Qualifications:
- Note: An equivalent combination of education and experience may be considered._
Education- Secondary school graduation or equivalent.- Completion of courses in project management such as an introductory course in project management.
