Job Description:


This role will support the Environmental Services while always ensuring quality of service and optimal customer and patient satisfaction in a team environment.

Responsibilities include day to day coordination and support for multiple managers/units as well as multiple sites as required within the Support Services portfolio.

This role will perform a variety of coordination and administrative duties that will require a comprehensive knowledge of the department, policies and procedures and the use of and/or access to confidential and sensitive information.

This role is essential to ensuring the efficient organization and coordination of Support Service related activities in support of the patient inspired health care we deliver at Osler.

Additional responsibilities will include overseeing daily staff assignments, scheduling tasks, staff orientation and training, quality audits, special projects and other related duties as assigned by the Manager.


Accountabilities:

  • Coordinate and ensure staff complete the mandatory training (LMS)
  • Coordinate, schedule, setup and attend multiparty meetings, create agendas and maintain minutes as required. This includes assisting during multidepartment meetings or events i.e., completes registration, follows up on routine technology, refreshments and other arrangements
  • Coordinates and processes incoming mail and supports the departmental filing systems, electronic data/document storage, timely access to physical documents and correspondence and filing of all confidential department information.
  • Coordinates and tracks daily/monthly labour variances for departmental reporting and tracking purposes
  • Coordinates and processes invoices, expense claims for all department vendors for all (3) hospital sites to the accounts payable department.
  • Responsible for processing Meditech payroll for all frontline and management staff
  • Responsible for creating schedule for all frontline employees
  • Coordinates, processes and tracks purchase/service orders and return purchase requisitions via the Purchasing department
  • Manages, assigns and redistributes lockers in staff locker rooms for new staff, external nursing students and teachers.
  • Continuously updating department service performance and communication boards on a frequent basis including updates to department MSDS & Emergency Preparedness binders
  • Monthly tracking and reporting on all monthly waste diversion statistics for the (3) sites and the coordination of annual waste audits.
  • Coordinates and orders/maintains inventory of department supplies and equipment across (3) sites) including maintaining appropriate inventory levels.
  • Any other duties as assigned by the department Managers

Qualifications:


  • Excellent interpersonal and outstanding communication skills and the ability to work with all levels of employees as a team player. Must be proficient in English, both oral and written
  • Excellent conflict resolution skills & enthusiastic about learning and adapting to changing professional responsibilities
  • Positive, responsible and selfmotivated and capable of working with minimum supervision in a fast pace environment while managing multiple priorities with strict deadlines
  • Exceptional organizational and time management skills within a fastpaced environment
  • Excellent oral and written communication skills and the ability to interact with all levels of employees as a team player
  • 13 years' experience in Meditech would be considered an asset
  • Knowledge of Ontario waste legislation would be considered an asset for this role
