Job Number:48968**The High Level Office (HLO) for Reconciliation and Anti-Racism is a team within the City Manager's Office which will work closely with the established Independent Anti-Racism Body and the Indigenous Relations Office to advance the goals of the City's Anti-Racism Strategy and our commitment to Truth and Reconciliation.

With a focus on the City of Edmonton's Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, you will:

  • Prepares and shares working documents for section/branch/department/council correspondence, collecting and preparing background material for meetings, reviewing and tracking incoming correspondence for continued delegation, and reviewing written materials submitted for format, grammar, and content prior to obtaining signature
  • Moves completed documents through the appropriate channels and approval processes and ensures corporate standards are met and adhered to
  • Provides advice and assistance as required, including composing, proofreading, editing, researching, and reviewing documents, and works with other administrative professionals to develop, standardize and enhance processes and procedures for the section
  • Supports the development of office principles, procedures, and systems
  • Ensures city policy and department procedures are adhered to
  • Recommends modifications to improve efficiencies and reduce redundancies
  • Attends meetings with the HLO leadership as required, and oversees activities associated with administrative corporate initiatives
  • Liaises and exchanges information with administrative staff of other senior offices (sections, departments, office of the mayor, office of the city clerk, councilor's offices, etc.)
  • Schedules and manages the coordination of team meetings for the HLO staff
  • Other related duties as assigned

Qualifications:


  • Minimum of three (3) years progressively responsible, diversified administrative experience in a fastpaced, highly political office setting dealing with upper management, and demonstrated computer competency
  • Personal value base compatible with diversity and inclusion principles, GBA+, and human rights advocacy
  • Advanced knowledge and experience with Google Suite, and experience with POSSE, PeopleSoft and/or SuccessFactors is considered an asset
  • A focus on excellent customer service and the ability to maintain professionalism in a fastpaced, challenging environment
  • Demonstrates a high degree of initiative, and utilizes judgement and discretion when making decisions particularly when managing confidential information with a high degree of discretion
  • Exceptional organizational and prioritization skills, including the ability to make independent decisions regarding managing calendar requests and task management
  • Must be highly self motivated and produce quality, errorfree work in a fastpaced environment
  • Excellent written and oral communication skills
  • Exceptional interpersonal and teamwork abilities
  • Ability to recognize politically sensitive issues and bring matters of priority to the attention of the HLO leadership

Hours of Work: 33.75 hours per week, Monday - Friday

The weekly hours of work for this position are currently under review and may change at a future time.

Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
