Scheduling Coordinator:


Position Summary

This is a Hybrid position that will involve a combination of work from home, the office and onboard ships in harbour and at sea
:


Reporting to the Coastal Planning Team Lead, the role of the Scheduling Coordinator is to assist the Ship Maintenance Lead (SML) in organizing all required routines while developing an integrated schedule for the Work Period.

The Scheduling Coordinator manages the preparation, monitoring, and maintenance of Work Period work lists and schedules.

They ensure accurate and timely reports are produced as required along with updating real-time dashboards and communicating schedule changes across the enterprise.

During the evolution of the Work Period, the Scheduling Coordinator will coordinate with the Technical Material Expeditor and advise if the identified Material is not in Stock.

Additional tasks will include but not limited to; Raising Purchase Requisitions on behalf of the SML, collecting and organizing Objective Quality Evidence, and assisting Maintenance Coordinators with Work Pack Management.


Essential Functions / Key Areas of Responsibility

The Scheduling Coordinator is responsible for the following:

  • Support the consolidation of bid and project deliverables according to customer criteria
  • Prepare the internal and external reporting (dashboard, KPIs, milestones reviews, workload reviews, EVM when applicable)
  • Risks & Opportunities
  • Update the Risks & Opportunities Register
  • Bid and Project Reviews
  • Support the preparation of data packages of bid and Project Reviews
  • Monitor the punctuality of Bid & Project Reviews
  • Finance (Cost, revenue, cash)
  • Support the preparation of the Estimate Pack during bid phase
  • Support budget allocation in tools
  • Support invoicing
  • Data Management
  • Support and control the bid documentation
  • Update the compliance matrix in the requirements (Non-Technical Requirements)
  • Update data management and actions log tools
  • Update Bid and Project Data Repositories
  • Capitalization
  • Record a quantitative capitalization of the bid and project management activities
  • Collect the Lessons Learnt all along the project life cycle
  • Prepare the Closure Review (data archive, Project baseline closure,)

Minimum Requirements:
Skills, Experience, Education, Technical/Specialized Knowledge, Certifications, Language


  • Minimum of 4 years demonstrated technical experience in the last 10 years, managing projects and teams preferably in the ship/dockyard and Naval environments.

Technical/Specialized Knowledge:

  • Experience working within an In Service Support Project advantageous.
  • Experience working within a defence environment with active defence force personnel is desirable.
  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint essential;
  • Strong organizational skills and ability to balance multiple priorities;
  • Experience within procurement, project management or warehouse environments highly desirable; and
  • Project experience interfacing between internal/external stakeholders.
  • Experience with the Defense Resource Management Information System (DRMIS), or comparable document management system is advantageous;
  • Experience working in SAP, or comparable Enterprise Resource Planning or Asset Management software is advantageous;
  • Previous experience in shiprefit and repair activities is advantageous.

Preferred Qualifications

Education:


  • Possess a minimum 3Year Technical Program diploma offered by a recognized technical institute or certified as a technologist by a recognized provincial, state, or federal (national) licensing body in a relevant field or certified to the QL6B level of military technical training.

Physical Demands


Predominantly working onsite in the Naval Dockyard and onboard Naval Vessels, will also be required to work from the office or from home.

Will be required to undertake inspections, including confined space entry, on Naval ships involving bending and twisting. Tasks may also requiring working at heights.

Must meet all federal government requirements to access Canadian government facilities, including naval dockyards.


Special Position Requirements

  • Required to access and work in DND facilities and therefore must comply with Federal facility health regulations
  • Requires direct or indirect access to hardware, software, technology or technical data controlled under the Canadian Export Control List, the ITAR or the EAR.
