The Opportunity

We provide flexible work schedules and remote work options to help balance the demands of work and personal life. At Dillon, we work as a united team. This position is available at any of Dillon's offices in Canada.

The Proposal Specialist reports directly to the Proposal Support Manager and collaborates closely with the Director of Business Development and Sales, Submission Managers, Marketing Specialists, Graphic department, and other members of the team on assigned pursuits. They are accountable for producing proposals and presentation materials, as well as nurturing the Dillon brand. This role is tailored for individuals with keen attention to detail, exceptional writing and editing skills, efficient time management, and proficient knowledge of the Microsoft Office Suite.


Responsibilities:

What your day will involve


- Proposal development & execution: Crafting well-written responses to proposals that meet client requirements, ensuring accuracy, conciseness, and effectiveness throughout the process
- Management of proposal development and submission process: Leading the process, coaching content authors, and collaborating with various teams to enhance proposal responses and win rates
- Collaboration with cross-functional teams: Working with different departments to create compelling descriptions of corporate content and experiences
- Innovative design collaboration: Partnering with the Graphics department to enhance proposal design templates for client engagement
- Meeting coordination: Conducting and organizing meetings to plan proposal submissions effectively
- Project management: Defining and managing proposal response processes to ensure timely and high-quality deliverables
- Resource coordination: Overseeing internal and external resources for proposal production and delivery to clients
- Supporting business and proposal development: Tracking project opportunities and contributing to process improvements
- Adherence to quality standards: Following Dillon's business processes and quality management system
- Occasional business travel: Traveling for business needs
- Other assigned duties

Qualifications:


- University Degree in Marketing, Communications, English, Journalism, Business, or related fields, or equivalent experience
- 5+ years' experience in proposal management/writing within virtual and cross-functional team environments


Experience:

- Understanding of proposal management best practices and project management
- Strong content creation and organization skills
- Certification in Proposal Management Professionals(APMP) is an advantage
- Experience in a professional services consulting firm is beneficial
- Proficiency in Adobe Creative Suite is a plus
- Excellent communication skills for relationship building and idea articulation
- Ability to work effectively in diverse team settings
- Proficiency in Microsoft Office Suite
- Strong attention to detail and time-management skills
- Capability to handle multiple projects simultaneously with deadlines
- Client-oriented mindset
- Efficient in internet research and data gathering
- Ability to work over time and irregular hours
