General Description:


Responsible for acting as an intermediary for the transit of goods and mail between the department, its suppliers and customers.

Accurately and efficiently receives incoming shipments and mail and processes them according to established procedures and policies.

Prepares incoming and outgoing shipments and mail by screening, sorting, logging and distributing items to the appropriate location as documented by accurate paperwork.

Provides resolution to shipping and receiving discrepancies in coordination with appropriate personnel. Requires knowledge of University, courier and Canada Post policies and procedures.


Representative Duties & Responsibilites:


  • Prepare outgoing mailings and courier shipments.
  • Pack outgoing shipments securely, as per shipping specifications, for deliveries to customers and return shipments to vendors.
  • Load and unload merchandise from trucks.
  • Read packing lists containing item details to ensure the accurate receiving of goods.
  • Verify the completeness of all incoming shipments, parcels and mail prior to signing the receipt of shipment.
  • Maintain accurate inventory by ensuring all goods are entered into the receiving module and are tagged appropriately for check out.
  • Verify, count, sort, and price incoming merchandise quickly and accurately, according to established departmental procedures.
  • Unpack prepackaged chemicals, enter into inventory tracking system and prepare for distribution.
  • Place merchandise on carts and prepare for distribution.
  • Ensure appropriate documentation and distribution reports accompany all goods.
  • Assist departments with delivery details of goods.
  • Deliver incoming mail and packages.
  • Collect outbound and interoffice mail from departments across campus and offcampus.
  • Process mail received from numerous University campus and offcampus properties.
  • Sort mail by class and weight in accordance with postal regulations.
  • Operate postage meter machine to determine the appropriate charge for postage.
  • Calculate costs based on weight, dimensions, and destination and provide information to individuals and departments.
  • Utilize mailing software to track and record outgoing and incoming mail.
  • Track and compile monthly billing spreadsheets and journal entries.
  • Setup a variety of instruments including, but not limited to, scalers, inserters, and folders.
  • Prepare and gather documentation for payment of invoices and charge backs.
  • Identify and resolve issues as goods and mail arrive, escalating issues as necessary to appropriate personnel.
  • Resolve incidents of short shipments by contacting suppliers and delivery services.
  • Measure and weigh various packages and ensure adherence to established postage requirements.
  • Enter details into daily shipping manifest and complete appropriate documentation for outbound shipments.
  • Log registered mail into the appropriate registered book for delivery confirmation.
  • Notify customers of received registered mail items.
  • Liaise with buyers, courier personnel, and other departments for verifications, instructions, and other relevant information.
  • Provide viable alternatives to customers when materials such as letters do not conform to the standards of the equipment available.
  • Respond to inquiries that are specific in nature and require knowledge of established policies and procedures.
  • Provide information to customers regarding customs requirements and policies.
  • Update and maintain records for mailings to be charged to the appropriate department.
  • Update and maintain accurate information in the inventory management system.
  • Understand the process flow across various systems used within the department.
  • Track mail services data as it pertains to incoming and outgoing mail, and courier use.
  • Search databases to retrieve customer information.
  • Complete various forms and documentation including, but not limited to, customs requirement forms.
  • Scan foreign language text that comes through the mail for specific words or information.
  • Identify packages which may contain hazardous substances and handle accordingly.
  • Drive to central campus locations to complete mail deliveries.
  • Monitor freight charges in order to obtain the most cost efficient shipping rates.
  • Organize and maintain the receiving area to ensure accessibility and the most efficient use of space.
  • Notify the appropriate staff when shipping material is required, ensuring an adequate supply is available at all times.
  • Remain current with applicable postage and University policies and procedures.
