Purchasing & Administration Officer, International
Reporting to the _Manager_, _International & Partnerships_ this position provides financial and administrative support for International & Partnerships.

The Purchasing & Administrative Officer implements, evaluates, and promotes International initiatives, goals, and objectives while contributing towards facilitating efficient operations.

This includes collaboration and convening through coordinating office administrative procedures, management meeting and travel logistics, financial tracking and evaluation, purchasing, database management, and on-boarding new staff.


The incumbent also liaises with both internal and external stakeholders to support department in planning operational activities achieving outcomes in timely manner.

The position requires a high level of troubleshooting and analysis to determine efficiencies and develop new processes in respect to financial activity that takes pertains to satellite campuses and align them to the Fennell Campus.


Responsibilities:

The duties of this position include, but are not limited to:

Meeting Coordination and Administrative Support
-
Coordinates the preparation and circulation of plans and accompanying documents; formats and produces memos, letters, reports, and forms from drafts or notes.

  • Maintains electronic calendars for International & Partnerships managers, including critical dates for college meetings/events and outside meetings.
  • Provides administrative support to the Dean, International & Partnerships

Purchasing, Expense Analysis, and Reconciliation

Monitoring and analyzing transactions while verifying anomalies and outstanding accounts payables

  • Makes hotel, flight, and travel reservations for I&P Managers and coordinates with other teams' administrative support as required.
  • Tracks and monitors expenses for initiatives, strategic, and special projects
  • Advises International Operations & Marketing Manager concerning spending against departmental budget goals
  • Maintains inventories, orders office supplies for I&P department from vendors, and reconciles monthly statements for these purchases.
  • Prepares and processes department purchase requisitions through FAST and monitors requisition status to ensure purchase orders (POs) have been initiated.
  • Coordinates purchasing card (PCard) expenses and reconciliation for managers within I&P, and Market Specialists' extensive expense claims. Reviews and submits PCard documents to Accounting according to Mohawk College guidelines.
  • Reviews staff expense claims for accuracy and completeness before submitting claims to Payroll.
  • Maintains departmental financial tracking database (expense claims and Pcards)

Support Onboarding of New Staff

Executes onboarding procedure for new hires within International & Partnerships


Qualifications:


  • A minimum of a twoyear postsecondary education in Office Administration, Executive, Business Administration, Finance, Project Management, or related field; or equivalent combination of education and experience.
  • Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
