Opportunity

kihêw waciston, MacEwan's Indigenous Centre is seeking to fill a full-time continuing Administrative Assistant opportunity.

Reporting to the department Supervisor, with accountability to the Director, Indigenous Initiatives, you will contribute to the success of the University's mission by providing support services to the Indigenous Education Centre and Indigenous learners at MacEwan University.


Key responsibilities include:

  • Processing financial transactions for the department, including accounts payable, accounts receivable, purchasing and reconciliation;
  • Generating and maintaining marketing and communication materials within the University and surrounding communities;
  • Maintaining databases and distribution lists of internal stakeholders, Indigenous learners, Indigenous education offices, and Indigenous support agencies;
  • Producing and distributing monthly newsletters;
  • Collaborating with web services to maintain the department's website;
  • Assisting with event coordination and logistics;
  • Assisting in booking and managing centralized calendars and initial consultation appointments for Elders and Knowledge Keepers;
  • Managing office supplies and assets, and coordinating keycard requests, office moves, and tech support inquiries;
  • Coordinating, preparing, and scheduling kihew waciston meetings, including arranging room bookings, preparing agendas and minutes;
  • Coordinating logistics for guest speakers;
  • Supporting positive relations with Indigenous communities, agencies and organizations;
  • Providing information to the public regarding program information and student support services; and
  • Supporting Indigenous ceremonies.

SKILLS

  • Knowledge of basic financial processes;
  • Strong attention to detail;
  • Proficiency with Microsoft Office, Adobe Acrobat, and Google Drive;
  • Excellent time management and organizational skills;
  • The ability to effectively problem solve and prioritize multiple tasks;
  • Strong written and verbal communication and interpersonal skills;
  • The ability to exercise judgment and discretion;
  • The ability to work well in a team environment;
  • The ability to multitask and work with mínimal supervision; and
  • Knowledge and understanding of Indigenous culture.

QUALIFICATIONS

  • A minimum of a diploma in office administration or business.
  • A minimum of 3 years' experience providing comprehensive administrative support.
  • Equivalences may be considered.
