This is what else you can expect from this dynamic role:

  • Make observable contributions to the success of other team members and the overall performance of the team.
  • Calendar management and meeting logistics; can include ordering food, coordinating appointments.
  • Receive inquiries by telephone and in person and direct callers to the appropriate team member.
  • Process incoming/outgoing mail and couriers ensuring the most efficient method is used for distribution.
  • Draft and/or prepare documents including letters, memos, and correspondence or copytyping handwritten notes.
  • Produce and proofread materials/documents for Labour Relations Officers.
  • Summarize records and maintain files of arbitration awards for rights and interest cases.
  • Maintain information specific to grievances/arbitrations tracking.
  • Records management/GEL case file management; identify priorities within the tracking system (can include photocopying and scanning documents).
  • Distribute new and amended collective agreements.
  • Ensure adequate supply of general office supplies, stationary and other office equipment/supplies as needed
  • Administer invoice transactions for office expenditures
  • Coordinates communication with office staff, in conjunction with Manager, as it relates to office closures due to inclement weather
  • Coordinates communication to office staff as it relates to issues which impact the office. For example, Sonitrol issues, air quality testing, health & safety inspections, problems with the elevator.
  • First line of contact for Property Manager, landlord, and thirdparty vendors
  • Revises landlord security contact information annually for staff security and access cards
  • Notifies the Property Manager and Regional Labour Relations Manager, in the event of problems with building maintenance

What we are looking for:


  • Postsecondary certificate and/or diploma in Business Administration, Legal Administration, Administrative Services or a related field.
  • Three (3) to five (5) years of relevant experience as a legal secretary and/or legal assistant in labour and employment law or litigation matters; including one (1) year of facilities/office coordination experience required (or equivalent combination of education/experience satisfactory to ONA).
  • Records management experience.
  • Certificate, courses and/or experience in project management/coordination is an asset.
  • Advanced knowledge of Microsoft Office (including Word, Excel and PowerPoint); and demonstrated experience in database management.
  • The ability to multitask, prioritize and manage multiple deadlines in a fastpaced environment in accordance with instructions. High level of accuracy and strong attention to detail.
  • The ability to work professionally with people from various levels of the organization; impeccable interpersonal, written and verbal communication.
  • Demonstrated ability to prioritize and manage multiple deadlines in a fastpaced environment in accordance with instructions/process; high level of accuracy and strong attention to detail.
  • Adaptable and flexible individual who can work effectively as part of a team.
  • Ability to speak other languages is considered an asset
