    Job Description Summary

    This position is responsible for coordinating and administering UBC Occupational Health and Safety Programs to anticipate, identify, evaluate and control safety risks and processes within UBC workplaces, with the aim to protect UBC faculty and staff. This position provides guidance and advice to ensure compliance with Occupational Health & Safety regulatory requirements and conformance with best practices as outlined in ISO 45001:2018 and WorkSafeBC.


    Organizational Status
    This position reports to the RMS Advisor – Education Programs and Planning. This position interacts with administrative, academic and operational units, and all levels of the UBC community playing an integral role in the functioning of SRS departmental responsibilities. The incumbent maintains constant liaison with university supervisors (e.g. laboratory, operations and administrative supervisory staff) to ensure all are informed and aware of current and relevant health and safety requirements.
    Work Performed

    • Responsible for supporting the RMS Advisor – Education Programs and Planning coordinate and administer Occupational Health and Safety Programs which includes but is not limited to: incident/accident investigations; inspections: training; workplace hazard identification, evaluation and control; safe work procedures; workplace violence prevention; and field safety.
    • Develops, coordinates and delivers training through online platforms in conjunction with relevant SRS units. Also, provides specialized in-person tailored sessions as required to UBC departments
    • Responsible for developing and writing Occupational Health and Safety Program documents and safe work procedures and making necessary amendments to existing program documents
    • Provides guidance on safety issues and inquiries (e.g. incident/accident reporting and investigations, hierarchy of controls, occupational health and safety programs, best practices on general health and safety, response to emergencies)
    • Acts as the SRS representative on various Joint Occupational Health and Safety Committees, providing new information, participating and supporting Incident/Accident investigation reviews, and promoting the resources and programs offered by SRS.
    • Performs audits of submitted I/A reports to ensure proper root causes and corrective actions have been made and implemented. Works with supervisors to ensure compliance with Workers Compensation Act and Occupational Health and Safety regulations in regards to I/A investigations being completed and submitted in a timely manner
    • Collects and interprets pertinent information to support the preparation of annual reports for the department in accordance with program requirements
    • Creates data visualizations from complex data sets to identify, analyze, and interpret patterns and trends and prepares statistical and/or narrative reports for the department
    • Develops project plans and monitors and tracks progress using Project Management tools and software
    • Maintains ongoing knowledge of changes to applicable Occupational Health and Safety legislation and emerging issues/trends in Occupational Health and Safety Management Systems;
    • Collaborates with other SRS Safety Advisors and Associates on new initiatives and processes as required to meet Occupational Health and Safety legislation and ISO 45001:2018 requirements;
    • Responsible for assisting with the implementation of University-wide Occupational Health and Safety Management Systems;
    • Conducts safety inspections of UBC worksites to ensure work practices and conditions are safe and conform to applicable regulations and procedures. Reports recommendations and/or corrective actions to management;
    • Performs other cross functional duties within the department as required
    • Performs other related duties as directed to support the implementation of SRS objectives.

    Consequence of Error/Judgement
    This position supports the implementation of safety practices which conform to various regulations, federal (, WHMIS, TDG) and provincial (WorkSafeBC, BC Fire Code) through the development and implementation of safety training, consultation and inspection programs. Inadequate training or consultation could result in serious injury or disease to faculty, staff, and students; loss of equipment or facilities; fines and legal liability to UBC as well as loss of reputation to UBC.
    Supervision Received
    This position performs responsibilities under the direct supervision of the RMS Advisor – Education Programs and Planning . Work is subject to periodic review and consultation by the RMS Advisor – Education Programs and Planning to determine that the quality and quantity of work performed meets regulatory requirements and established program objectives. This position will keep the RMS Advisor – Education Programs and Planning informed of ongoing activities and will advise the RMS Advisor on major problem areas or deviations from established program objectives.
    Supervision Given
    This position does not directly supervise full or part-time staff. This position is responsible for direct supervision of work study positions (when staffed). This position provides technical and functional supervision to ensure compliance to institutional and regulatory standards, and provides technical guidance as required.

    Minimum Qualifications
    College diploma in a relevant discipline. Minimum of two years experience, or the equivalent combination of education and experience.

    Preferred Qualifications

    • Undergraduate degree in a relevant discipline
    • Canadian Registered Safety Professional is an asset.
    • Able to design and effectively deliver training sessions
      Working knowledge of various systems such as Articulate, Canvas, Catalog, Workday, SharePoint, Power BI, and SmartSheet is an asset.
    • Experience with statistical analysis of data and creating data visualizations
    • Demonstrated working knowledge of pertinent regulations (Occupational Health and Safety Regulation, Workers Compensation Act, TDG, WHMIS, BC Fire Code), guidelines and best practices.
    • Demonstrated ability to work collaboratively as a member of an interdisciplinary team.
    • Demonstrated high level of written and oral communication including presentations in group settings.
    • Conflict resolution and interpersonal skills are essential.
    • Assertive, self-starter, able to work under limited supervision to meet program goals
    • Ability to work under pressure and meet deadline.
    • Ability to exercise tact and discretion and work in a team environment and make sound technical decisions
    • Able to apply regulations and procedures to a wide variety of work situations
    • Physical ability to inspect diverse jobsites including operational areas, research laboratories
    • Able to wear personal protective equipment such as a hard hat or respirator.
    • Computer skills compatible with Windows essential with database experience an asset.
    • Valid drivers licence preferred.
