Position Description:


As a member of our Learning Institute team, the Project Coordinator is pivotal in ensuring the smooth operation and delivery of high-quality services within our conference centre.


Here's What you'll Get To Do

  • Act as the primary point of contact for clients utilizing the conference space, providing guidance regarding the facilities, potential room setups, etc. and ensuring that groups are following the guidelines for room use
  • Address any client concerns or issues in a timely and professional manner
  • Liaise with, and facilitates meetings with, our partners (e.g. Audiovisuals, Move Team, Catering, Facilities, Protection Services) to optimize functioning of the space
  • Provide back up support to manage the booking calendars for the Conference Centre spaces
  • Deliver internal and/or small external events as assigned including managing event logistics
  • Participate on the appropriate Joint Occupational Health and Safety Committee and manage related processes
  • Act as the key point of contact for the Learning Concourse Digital Signage
  • Complete month end financial reconciliation for the funds collected in our event management system
  • Create basic event registration sites on our event management system
  • Promote a collaborative approach to problemsolving by fostering a trusting and respectful environment open to continuous improvement

Essential Requirements

  • Bachelor's degree or equivalent work experience
  • Exceptional organizational skills and an ability to support multiple concurrent projects in a fastpaced environment
  • Passion for delivering exceptional customer service
  • Excellent communication, interpersonal and relationship management skills, with a customerfocused approach
  • Superior multitasking skills with the ability to plan, set priorities, meet deadlines, and work confidently under pressure
  • Attention to detail
  • Well developed problem solving skills
  • Demonstrated commitment to equity, diversity and inclusion (EDI) and experience advancing EDI objectives

Assets

  • Proven experience in event management, preferably in a healthcare or hospitality setting
  • Proficient in Microsoft Office Suite and event management software
  • Previous experience in project or program coordination
  • Experience collaborating with a wide range of internal and external stakeholders to achieve a common goal

Employment Type

  • Full time 12month contract; 35 hours per week
