JOB OVERVIEW


Acting as a resource to CCPS (Centre for Cancer Prevention & Support) team members and partners, the Project Coordinator provides support on tasks related to the planning, coordination, communication and execution of a variety of project components.

This is a new role that will help establish new and streamline existing processes for the CCPS team and its partners, as well as create efficiencies by centralizing administrative-related activities.


WHAT YOU'LL BE DOING:


1.Project Coordination

  • Liaises with CCS staff to determine needs, develop plans and collect or provide data
  • Supports internal/external recruitment efforts for participation in focus groups and honorarium fulfillment
  • Supports the implementation of pilot projects in partnership with community, research, and healthcare partners across the national CCPS hubs.
  • Facilitates data collection and entry to support Mission digital transformation projects, grant progress reporting and CCPS KPI reporting
  • Participates in selfdirected learning to gain knowledge and information in oncology
  • Other duties as assigned

2.Administrative support and process development

  • Coordinates internal and external meetings, including event logistics, webinars and video conferences across all CCPS projects; takes meeting notes and follows up on action items as required.
  • Prepares meeting materials, including but not limited to meeting agendas, presentation decks and related reports
  • Provides technical support at all online meetings, as well as on an ad hoc basis to CCPS team members for issues relating to MS Office suite and other platforms, e.g., Zoom
  • Supports onboarding new staff through booking orientation meetings and training on organizational processes and documentation templates
  • Leads processing of all invoices related to departmental operational budget and devises and implements a process for auditing quarterly financial reports from Finance
  • Supports team members with travel booking as needed
  • Responsible for enhancement and maintenance of CCPS SharePoint site
  • Contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, and nationality or race.

3.Partner Engagement

  • Central point of contact for partners either colocating or using space for programming and/or events in the Vancouver CCPS hub Manages CCPS space booking requests from partners and space usage in collaboration with the Vancouver lodge and facilitates teams
  • Maintains strong relations with colocated partners, Vancouver lodge and facilitates teams by providing regular updates and collecting feedback
  • Coordinates meetings and triage requests between internal CCS teams and colocated partners
  • Works with Innovation & Implementation Manager and/or Director, Center for Cancer Prevention and Support to develop operational procedures to support national hub partnerships
  • Provides input and assist in work processes related to Quality and Improvement

QUALIFICATIONS:


  • Undergraduate university degree in a related field
  • At least 1 year of project management work experience
  • At least 1 year of project management work experience
  • Proven track record of developing relationships and working effectively within a project team and with business partners
  • Experience with digital communication tools is an asset (e.g., virtual meeting platforms, social media, websites, eNewsletters, etc.)
  • Previous experience in healthcare and/or academic setting is an asset
  • Excellent verbal and written communication skills for both print and digital media, including plain language writing skills
  • Bilingualism considered a strong asset
  • Strong interpersonal skills
  • Excellent timemanagement and organizational skills
  • Ability to prioritize and manage multiple projects simultaneously
  • Strong analytical and problemsolving skills
  • Exceptional attention to detail
  • Ability to work in a remote team environment
