Reporting to Senior Property Manager, the Property Administrator is responsible for providing an exceptional resident experience while executing residential property administrative procedures and processes with strong attention to detail to improve efficiencies and ensure accurate reporting.
Responsibilities - Tenant Service
- Acting as the primary point of contact for resident lease account
- Explain and interpret ledger to residents with A/R inquires
- Respond to residents' questions and service requests in timely manner
- Contribute to the resident retention and satisfaction and sustain optimum occupancy rates
- Create work order request to our cleaning and maintenance team
Responsibilities - Lease Administration
- Administering the life cycle of residential lease from prospect to moveout in Yardi
- Updating and creating of lease documents using docusign
- Maintain an accurate lease account of all residents
- Ensure timely and accurate period rent roll posting
- Administration and collection of resident account receivables and reconciliation of resident accounts
- Suite inspections/move in/ move out/renewal inspections
Responsibilities - Receivable Collection
- Closely monitoring accounts receivable and NSF accounts
- Weekly AR Reports sent to PM and accounting to capture payments
- Contact residents who are in arrears and collect payments in a timely manner
- Send accounting any discrepancies on residents' ledgers
- Remittance
- Send final moveout report summary with charges to Accounting and complete collection/deposit refund
Responsibilities - General Admin
- Prepares weekly, monthly and quarterly reporting to provide management with resources that can be relied upon for decision making purposes
- Ensure accurate and timely MI/MO schedule for residents
- Ensure future residents' information is accurate in Follow up Boss
- Provide leasing manager with renewal inspections report 90 days prior to renewal
- Organizing and upload all important documents/information to Tdrive and Yardi, FUB and IMPAK
- Create purchase orders in Yardi
Key Qualifications
- Highschool diploma
- Minimum 5 years' experience in property administration
- Familiar with terms and conditions of the Tenancy Agreement
- Working knowledge of the Residential Tenancies Act
- Proficient and familiar in Excel
- Knowledge and experience working with Yardi
- Knowledge and experience with Docusign
- Knowledge of Adobe program
- Excellent organizational skills
- Strong communication skills both verbal and written
- Ability to handle difficult situations in a professional manner
- Ability to maintain good working relationships with all stakeholders
