Description

The Granite Club is looking and Events Coordinator that will be a member of the Events Department and is primarily responsible for the administrative operations and providing support to the various event Managers and the banquet operations team as needed.

This includes but is not limited to handling of incoming inquiries, daily reports, contract preparation, handling internal events and events of up to 30 people when needed, responding to Member and staff inquiries, invoice reconciliation and month end duties.

Opportunities to job shadow and assist on larger, more detailed events are part of the position.

Primary Responsibilities

  • Coordinate and schedule appointments with Members and relevant Event Managers for site visits or meetings.
  • Prepare BEO's for all internal departmental/committee meetings
  • Assist in organizing room décor and entertainment for Member bookings
  • Print off daily report, compare against contracts to ensure accuracy and copy to appropriate departments; Prepare weekly distribution every Wednesday and distribute to appropriate departments
  • Maintain par stock of office supplies and all events collateral and ensure managers have sufficient supply in the Events office.
  • Complete dayday banquet events service tasks including but not limited to printing place cards, menus, wine lists, etc.
  • Maintain filing system and BEO binder and complete month end duties i.e. 3 month rolling, master files, purging of files, etc.
  • Update 'daily events screen' with each days' listing of events
  • Attend weekly Events Meeting and other associated Banquet-Events Meetings, take minutes, distribute to all managers by following Monday at latest
  • Assist in competitor research compilation and input of market analysis
  • Handle children's birthday parties and Kids' camps in coordination with Kidzone from start to finish
  • When required and assigned, handle private events under 30 guests
  • As required and scheduled, provide extended service to the Membership on the weekends, acting as a liaison for venue site visits and potential bookings.
  • Thorough check of all function rooms before the event to ensure proper set up, appearance and cleanliness.
  • Actively demonstrate and promote teamwork, sincerity, helpfulness and courtesy.
  • Promote excellent Member relations, resolve problems immediately and escalate to managers if necessary. Report all problems / issues to Event Managers, even if resolved to ensure Member follow up if necessary.
  • Liaise with the Executive Chef, Kitchen Management and staff for all functions and events as assigned.
  • Provide assistance to the Banquet Services team in a support role for staff and Member contacts for events
  • Complete daily task checklists and any other duties as assigned.
  • Meet all uniform, appearance, and grooming standards as specified by the Club.
  • Maintain confidentiality of proprietary information, protect Club's and Members' confidential and sensitive information.
  • Follow all fire and emergency procedures.
Required Qualifications

  • College Diploma in Hospitality or practical work equivalent
  • Excellent computer Skills
  • Excellent verbal and written skills
  • Excellent communication and multitasking skills and strong organizational skills
  • Prior catering/sales experience and knowledge of food & wine an asset
  • Must be available to work evenings, weekends and holidays

  • Must be available to work weekends, weekdays and/or holidays, AM and PM
