    Duties and Responsibilities:


    Reporting to the Assistant Director, Housing Services, the incumbent is responsible for developing and coordinating, residence recruitment programs, all residence specific events and administrative duties relating to Housing Services.

    Residence specific events include but are not limited to residence move-in and move-out, holiday stayover and early arrival programming.

    Recruitment events include but are not limited to March Break Tours, multiple Open Houses, Ontario Universities Fair, and other seminars, virtual and in person.

    These events require the incumbent to showcase what residence has to offer and have an intimate understanding of what residence community living means at Carleton University.

    This includes interviewing, hiring, and training tour guides ensuring that they continuously represent and showcase Residence at Carleton University appropriately.

    The objective of this role is to ensure the needs of all residence students are being met, and that they have a successful, positive experience in residence.


    Due to the nature of the position shift flexibility is required including early morning, evenings and weekends in varying shifts according to business demands.

    Qualifications:



    The incumbent must possess the following qualifications:

    • This position requires proven ability working in a recruitment environment, promoting Housing and Residence Life, exceptional planning, and coordination skills for events of varying sizes, delivering presentations to large groups, and building rapport with differing audiences. Knowledge of university admission procedures, Residence admission policies and regulations is required.
    • The incumbent must have excellent interpersonal, problem solving and communication (written, oral and presentation) skills and a good working knowledge of group dynamics.
    • The incumbent must possess and demonstrate strong research, program and event planning, presentation, and training skills.
    • The duties of this position require significant competency in computer skills, including intermediate ability with Google Suite, Microsoft Office, StarRez, Banner, Chase Paymentech and publishing software. Required to remain up to date with constantly evolving technology.
    • The incumbent must possess excellent oral and written communication skills, good judgement, tact, and diplomacy. The incumbent must possess the ability understand and be sensitive to people's needs and feelings, ensuring operational requirements are met.
    • The incumbent must be capable of working independently and effectively with a variety of complex duties and people in an environment where interruptions are constant. Adherence to detail and accuracy are essential.
    • The incumbent must be able to complete a wide range of duties in parallel, exercising good judgement in setting priorities and managing competing deadlines.
    • The incumbent must possess office administrative skills with the ability to multi-task a demanding workload and work creatively and independently employing excellent organizational skills.
    • The incumbent is required to assist with day-to-day operations with room assignments, system, and team support. The ability to identify and collect and collate data related to residence recruitment events is required.
    • It is essential that the incumbent remain current on trends, developments and changes related to Housing and Residence Life. Monitoring practices, trends and new initiatives at other universities is also necessary to continuously improve services.
    • The nature of the work requires that the incumbent remains flexible with the need to work frequent irregular hours, including evenings and weekends.
    • The position requires someone with high energy and the ability engage differing audiences, while promoting Carleton University. The incumbent also needs to motivate others in providing the same level of service.

    Education and Experience:


    The above is normally acquired through the completion of:


    • Successful completion of a four-year university degree, in a related field preferably Business (Marketing), Journalism, Communications, or Public Relations.
    • Minimum of five years recent related experience, in event planning and program coordination, marketing, public relations, including professional presentations to large groups. Demonstrated progressive increase in work responsibility. Supervision skills, including interviewing, hiring, training, and motivating student staff.
    • Demonstrated good working knowledge of technology using a multitude of software. The ideal candidate will have used Banner and StarRez, is proficient in Google Suite and Microsoft Office, and has some experience with design software such as Canva.
