Reporting to both the Vice-President, Retail Operations and the Vice-President, Supply Chain and Distribution, the Executive Assistant coordinates administrative activities related to these two important services.

The incumbent uses his or her skills, experience and talent to be involved in all activities of retail operations and the supply and distribution industry.

With a great sense of prioritization and organization, the assistant is able to understand, intervene and support activities related to retail operations as well as interpret the possible impacts of The Supply and distribution category in the company.

This person also provides administrative support to the two vice-presidents and the directors under their responsibility.


KEY RESPONSIBILITIES

  • Coordinate the activities of the two Vice-Presidents: manage their agenda and optimize their communications according to priorities.
  • Coordinate, prepare and participate in meetings of the operations team and the supply and distribution team in addition to following up on actions that need to be completed by meeting participants.
  • Actively participate with the operations group; understand performance indicators and their impacts on retail sales.
  • Actively participate with the supply and distribution group; understand performance indicators and their impacts on supply costs and wholesale sales.
  • Provides any collaboration or expertise necessary to set up special projects and keeps his/her supervisor informed of activities under his/her responsibility. Provide administrative support on occasion.
  • Coordinate and provide leadership for various annual programs.
  • Work closely with the various directors ofdifferent groups in their daytoday activities and/or new initiatives implemented within retail operations and supply chain and distribution.
  • Understand priorities in order to support both Vice-Presidents in their role.
  • Ensure administrative liaison between internal and external customers of the company.
  • Ensure compliance and budget compliance ofVicePresidents. Manage the administrative portion of the department's budget and be able to answer questions related to budget expenditures.
  • Produce, translate and disseminate various communications, presentations, letters, memoranda, minutes, reports, etc.
  • Prepare and coordinate monthly and annual meetings/meetings.

PROFESSIONAL REQUIREMENTS

  • College (DEC) or BAA degree relevant to the field (or equivalency in experience).
Experience

  • Minimum of 10 years of experience in an Executive Assistant role.
  • Relevant experience in managing projects of various sizes (asset).
Knowledge and skills

  • Indepth knowledge of PowerPoint (as an expert).
  • Excellent command of Microsoft Excel (advanced functions).
  • Excellent sense of organization, attention to detail.
  • Political leadership and skills.
  • Excellent communication skills.
  • Customer oriented and teamwork.
  • Sense of discretion and confidentiality.
  • Diplomacy and finesse in interpersonal relationships.
  • Autonomy, initiative and great resourcefulness, efficiency and speed of execution.
  • Able to work under pressure and resultsoriented.
Language criteria

  • Bilingualism (English and French) both orally and in writing
