  • Develops, implements and evaluates an overall volunteer strategy to meet YWCA Hamilton department needs while ensuring meaningful and memorable volunteer experiences for all volunteers;
  • Recruits new volunteers through planned community outreach efforts; interviews applicants and trains, supports, and motivates new volunteers;
  • Works closely with YWCA Hamilton departments to determine volunteer needs to effectively manage program areas, ensuring the right volunteers are recruited for the right positions;
  • Works closely with the Events and Community Fundraising Specialist to recruit for and effectively manage volunteers for signature YWCA fundraising events including YWCA's Women of Distinction Awards and YWCA's Walk A Mile In Her Shoes;
  • Identifies volunteer opportunities through corporations to enhance YWCA programs, events and services and liaises with corporate contacts to ensure deliverables are achieved;
  • Develops and implements volunteer stewardship plan to ensure that all YWCA Hamilton volunteers are recognized in a way that is memorable and meaningful, and works with the Events and Community Fundraising Specialist to recognize volunteers annually during Volunteer Recognition Week by hosting a volunteer appreciation event;
  • Ensures there is appropriate support and training for agency volunteers in alignment with their volunteer area(s);
  • Manages the YWCA Hamilton's volunteer database to effectively track and manage all volunteer profiles, hours and assignments while collecting statistics and analytics to determine trends to support strategy and volunteer pipeline development;
  • Manages the development of volunteer related marketing materials for the purpose of promotion;
  • Ensures that volunteer policies and procedures are up to date, in alignment with Human Resources and Quality and Compliance, and that best practices are incorporated at all times;
  • Works with YWCA staff to effectively communicate volunteer positions, builds out job descriptions and matches volunteer interest with program and department need;
  • Monitors and manages volunteer budgets where appropriate and supports other administrative duties where and when required;
  • Manages the volunteer program and monitors budgets/expenses related to the program;
  • Tracks, codes and submits all volunteer related invoices in alignment with YWCA Hamilton finance and administration policies;
  • Develops and implements appropriate systems to ensure monitoring of projects and initiatives in compliance with work schedules, outcomes and volunteer requirements to ensure the protection of vulnerable populations through police background checks, vulnerable sector checks or other requirements;
  • Maintains appropriate recordkeeping and expense reporting in accordance with YWCA Hamilton's policies and procedures, and confidentiality/privacy policies;
  • Provides recommendations to strengthen existing volunteer policies or processes;
  • Provides regular reports and updates to Program Leadership when required;
  • Identifies and evaluates risks associated with volunteers and takes appropriate action to control the risks;
  • Nurtures and forms meaningful internal and external working relationships and partnerships; Understands emerging trends, leading practices, industry professional standards;
  • Supports YWCA Hamilton mission, vision and values;
  • Perform other duties as required.

WORKING CONDITIONS:

  • Works a standard 20 hour work week;
  • Occasional evenings and weekends and travel may be required.
