Your role as a Program Coordinator:
The company desires to obtain a global view on the planned work and budgets compared to actual progress.

In this context, the job holder acts as a bridge between the program team that is currently focused solely on development projects and the services team.

The Program controller is responsible to adjust processes, put in place the right tool set and collaborate with the team on the change journey to enable the efficient tracking the professional services projects delivery by the program team.

Such tracking includes, but is not exclusive to budgeting, planning, progress reporting, forecasting and capacity management.

The job requires a high level of initiative and resourcefulness to challenge the status quo and implement new methodology, processes, reporting and tools.

The job holder will need to have a solution driven mindset and be able to propose a stepped approach.

Enabling easy access to progress data will be key to track the performance of the team and initiate continuous improvement.

Excellent communication and collaboration with the various stakeholders will be needed to enable change and ensure adoption.

Reporting to the program director, this person's main interactions will be with the professional services teams and should consider the VP of professional services as his or her internal client.


What you'll be doing:


  • Review and adjust time tracking process and tools for the services team to enable consolidated company view.
  • Review and adjust project planning tools and reporting to enable global visibility on progress and raid log.
  • Review and adjust capacity planning processes and tools for services team, and eventually help the program team optimise their current Excel tool.
  • Assess and build upon existing reports and dashboards that enable data driven decision making and continuous improvement of professional services operation efficiency (billable time, profit margins,)
  • Contribute to project management and change management of specific initiatives.
  • Develop operations management dashboards to allow easy monthly Professional services KPI and KR tracking.
  • Contribute to identification of issues that could impact the successful execution of the strategic initiatives and propose solutions and risks mitigation initiatives.
  • Support managers for workforce time tracking regularity, granularity and accuracy.
  • Collaborate with Finance to provide billing information and forecast financial management cycle.

What we're looking for:


  • Bachelor's degree in a businessrelated curriculum or equivalent.
  • 35 years experience as program coordinator.
  • Actively participated in building a PMO structure from the ground up.
  • Demonstrated ability to build new processes and tools in an unstructured environment.
  • Strong business acumen.
  • Team player with impeccable interpersonal & communication skills.
  • Ability to structure and organize data and activities.
  • Ability to work with a broad range of people including executive management.
  • Fast learner.
  • Highly organized, resourceful and solutionoriented.
  • Able to navigate successfully within ambiguity and face paced environment.


  • Bilingual

  • French and English.
  • Intermediate to advanced level of proficiency in Excel.
  • Experience using the Atlassian suite (Jira, Confluence, etc.) is a plus.
  • Experience using Smartsheet, Salesforce and Open Air is an asset.
