Branch Administrative Assistant (Contract)

Job Summary


The primary role of the Branch Administrative assistant is to provide operational and administrative support to the Management team and ensure the branch is managed efficiently and effectively.

The individual will assist in the implementation of branch directives and ensure that a high level of service quality is evident in all aspects of day-to-day operations.

Experience in the investment industry is an asset.


Essential Duties and Responsibilities

  • Liaison with outside suppliers and advisory teams to organize presentations, seminars, webinars and meetings;
  • Communicate, track and manage all incoming and outgoing correspondences with adherence to compliance policies and procedures;
  • Assist the management team with all banking procedures
  • Assist staff members with oneoff projects and various routine office duties;
  • Assist and provide backup to advisory teams with their administration needs;
  • Assist advisory teams with their marketing and social media strategies;
  • Coordinate, organize and promote branch marketing initiatives including; client appreciation events, mailings, website development/maintenance and social media;
  • Support the Branch Administrator and the Branch Managers with all aspects of office administration; and
  • Other duties as assigned.

Knowledge, Skills, and Abilities

Knowledge of

  • MS Office particularly Word, Excel, PowerPoint and Outlook

Skill in

  • Verbal and written communication;
  • Interpersonal Communication; and
  • Problem solving.

Ability to

  • Work independently as well as collaboratively within a team environment;
  • Exercise tact and discretion in the handling of confidential information;
  • Provide excellent work commitment and show willingness to accept additional responsibilities; and
  • Prioritize, multitask, work within time constraints and followup;

Educational/Previous Experience Requirements

  • A minimum of 2 years' experience in the Investment Brokerage or Financial Services Industry or applicable degree in Financial Services.

Licenses/Certifications

  • Completion of the Canadian Security Course (CSC) and the Conduct and Practices Handbook (CPH) is an asset.
