Overview:

This is an exciting opportunity to join Northland Properties, Canada's largest and fastest-growing privately owned hospitality group.

Founded in 1963, Northland operates in five countries with over 60 hotels, 150 restaurants, three resorts, three hockey teams and other brands and lines of business.

Responsibilities:


  • Manage the executive team's calendars, including scheduling appointments, arranging and optimizing travel, and coordinating meetings.
  • Debit notes on periodend items.
  • Enable remote decisionmaking, keeping projects on track, including the planning and coordinating of events, (e.g., meetings, conferences, and company gatherings).
  • Draft and proofread correspondence, communication memos, sales results, and other written materials as required by the executives.
  • Ensure that meetings begin on time with prep material delivered in advance.
  • Answer and screen calls, take messages and respond to inquiries when appropriate.
  • Maintain and organize files, records, and other documents.
  • Update and manage organizational charts.
  • Track performance tools and communicate results.
  • Process and track expense reports, invoices, and other financial paperwork.
  • Liaise with other departments, external partners, and vendors as necessary.
  • Perform research and prepare reports as needed.
  • Manage special projects as assigned by the Senior Leadership team.
  • Provide general administrative support as required.
  • Enter expense reports.
  • Reception coverage during lunch hours or as needed at the front desk.

Requirements:


  • Bachelor's degree preferred but not necessary.
  • Minimum of 2 years of experience in an administrative or executive support role.
  • Excellent organizational, time management, and problemsolving skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Exceptional written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to maintain confidentiality and discretion with sensitive information.
  • Professional demeanour and strong interpersonal skills.
