Job Summary

  • The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Financial Manager, the Receptionist will provide strong customer service and administrative support for the efficient and smooth running of the Department's reception area.

Key Responsibilities

  • Act as the first point of contact for the Department of Family Medicine. Maintain a good working knowledge of all the programs within the department and the operating policies and procedures in order to clerically support all programs and assist callers and visitors to the department.
  • Provide secretarial support to the Director of Faculty Development, the Department's Faculty Development Workshop Committee, faculty members without clerical support and administrative staff requiring assistance.
  • Provide clerical and secretarial support to committees such as the IT and Distributed Technology, and Wellness Committees.
  • Manage reservation calendar and signout/return of all departmental IT equipment, data projectors, laptops, etc. Support Communications Officer with Dalhousie Department website updates according to University branding guidelines, creating promotional material, branding items, handouts, brochures, etc.

Coordinate arrangements for meetings including scheduling, room bookings, Zoom bookings, IT equipment bookings, compiling materials, and ensuring follow up of action items.


Note
Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications

  • Office/Business Administration program with three years' related work experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word, Excel).
  • Excellent communication and organizational skills with the ability to exercise initiative and work independently.
