Position Overview
Reporting to the DSU Manager, the DSU Support Assistant carries out various activities that support the DSU. The DSU Support Assistant is the main contact person for the DSU.

This position will cover the pathology receiving desk, respond to general inquiries regarding DSU services, and direct inquiries to the appropriate individuals.

This position provides sample receiving, case accessioning and record keeping, entry and distribution of ancillary test results, financial administrative support, shipping support, general laboratory maintenance, and laboratory support as required.


The environment is challenging and fast-paced, involving phones, external customers, staff, and students with requests for information and work requirements.

Working within the framework of the University, UCVM and DSU policies and procedures, this position handles confidential


The DSU Support Assistant works primarily at the Clinical Skills Building (CSB), but may on occasion be required to spend time at the Foothills Campus.

The CSB is located at the University of Spy Hill Campus in northwest Calgary.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Screen and respond to inquiries regarding the DSU services from internal and external stakeholders taking any necessary and appropriate actions
  • Receive DSU case submissions in a timely and professional manner
  • Create and maintain accurate records (accessioning) of case materials (samples, animal tissues, cadavers) received into the DSU using a LIMS
  • Interact with external clinics and testing labs as required, for example, to acquire missing information or inquire regarding availability of testing results
  • Perform shipping for the DSU in a safe and timely manner including packaging of materials being sent to external ancillary laboratories, preparation of shipping paperwork, and maintenance of accurate shipping records
  • Retrieve, distribute, and enter into the LIMS incoming test results from ancillary laboratories
  • Maintain and archive DSU records / case information and update LIMS client data base records as required
  • Perform general laboratory maintenance (e.g. ordering, stocking, archiving materials and records, cleaning, entering maintenance work requests into the university system etc.) as required
  • Perform DSU financial tracking and billing activities as required including support for DSU expansion grant and activities
  • Support preparation and distribution of educational and promotional material in preparation for DSU expansion and other purposes
  • Efficiently arrange meetings or other events which may require room bookings, preparation of documents, and minutetaking and distribution

Qualifications / Requirements:


  • At least 3 years of administrative experience with emphasis on administrative and organizational skills is required
  • Postsecondary education in the area of administrative support or the life sciences is strongly desired
  • Must have at least 6 months of experience working in a veterinary laboratory environment that includes handling of animal tissues
  • Previous customer service experience is required
  • Previous experience in administrative or support work within an academic, veterinary and/or laboratory environment is required
  • Experience with a laboratory information management system (LIMS) is required
  • Familiarity with basic anatomy, physiology, pathology and/or medical terminology is required
  • Ability to interact with various internal and external DSU stakeholders in a courteous, empathetic and professional manner and work in an environment dealing with various confidential matters is required
  • Proven ability to work independently as well as managing conflicting priorities and demands is required
  • Proven ability to work collaboratively in a team environment is required
  • High degree of flexibility, organization and proven ability to manage conflicting priorities, demands, time sensitive tasks, and meet deadlines is required
  • High degree of accuracy and attention to detail, proofreading skills, and the ability to follow standard operating procedures is required
  • Strong written and verbal communication skills
