Position summary
The Smart Hospital Project aims to revolutionize healthcare in the Neonatal Intensive Care Unit and beyond.

We are harnessing the power of innovative wireless technology, artificial intelligence, and machine learning tools to improve vital sign and respiratory monitoring by developing and testing wireless technologies, as well as innovating and streamlining the retrieval, processing and visualization of data collected at the bedside.

The Administrative Assistant will join the Smart Hospital Team and report to the Principal Investigator under the supervision of the Project Director.


General Duties

The Administrative Assistant will provide comprehensive administrative support to the Smart Hospital Project team to ensure the smooth operation of the Smart Hospital Project research program.


Key areas of responsibility are as follows:

  • Coordinate and manage schedules and meetings for the Smart Hospital Project team,
  • Point of contact for internal and external communications,
  • Assist in the administrative requirements related to all research studies under the Smart Hospital Project.
Under the direction of the Project Director, the Administrative Assistant will be expected to perform the following:

SPECIFIC RESPONSIBILITIES:

  • Manage schedules of the Smart Hospital Project team members,
  • Provide meeting support by scheduling meetings including booking rooms or online, prepare agenda, distribute required documents, transcribe and distribute minutes,
  • Assist in researchrelated travel arrangements for the Smart Hospital Project team,
  • Assist in document preparation, formatting and editing research documents, reports, presentations, and manuscripts,
  • Composes, types, translates and edits documents,
  • Maintain files electronically and hardcopy
  • Prepares web content such as forms, communications, reports and other documents to be posted on the organization's Web portal,
  • Performs other ad hoc tasks duties as assigned by Principal Investigator or Project Director.

Diploma of College Studies (DEC)

Field of Study:
Office Systems Technology or related field

  • Proven experience in administrative support roles, preferably in a research or academic environment,
  • Demonstrates professionalism, positive attitude and proactive approach to the role and in all interactions with Smart Hospital Project team, other departments, institutions and industry partners,
  • Works with general supervision, follows established policies and procedures, including maintaining confidentiality and handling sensitive information with the appropriate discretion,
  • Flexibility and adaptability,
  • Strong communication skills in both English and French, spoken and written, with attention to detail,
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively,
  • Excellent French and English, spoken and written,

Additional information

Status:
Temporary, full time (35-hour workweek)

Pay Scale:
Commensurate with education and experience / $39, $59,332.00.


Work Shift:
Monday to Friday
