is seeking an organized and self-motivated Bilingual IFS Operations Associate to join the Independent Financial Services Leadership team with Raymond James Ltd.

The primary role of the Bilingual IFS Operations Associate is to provide operational and administrative support to the IFS Management team and ensure the agency network is supported efficiently and effectively.

The individual will assist in the implementation of department directives and ensure that a high level of service quality is evident in all aspects of day-to-day operations.

Previous experience as a Branch Administrator, Branch Associate or Sales Assistant in the Investment Industry would be an asset.


What will your role be responsible for?

  • Perform administrative duties, including: calendar management, maintaining records, and miscellaneous administrative support as needed
  • Coordinate business meetings, conferences and presentations. Prepare agendas and materials.
  • Facilitate credit/compliance checks for nontargeted hires to the agency division
  • Coordinate complex travel arrangements
  • Internal moves coordination including reviewing location requests
  • Collaboration with stakeholders to ensure all IFS Agents, Advisors and Associates have completed mandatory training requirements.
  • Prepare expense reports for travelling members of the IFS Leadership team
  • Coordinate Advisor onboarding due diligence for the Agency division.
  • Interact with agency office stakeholders to manage general questions or queries
  • Assist with organization, management & execution of advisor events, national conferences and seminars as needed.
  • Coordinates certain recruiting functions such as posting agency job descriptions, vetting nonproducing registrants and documenting hires in Microsoft Dynamics CRM.
  • IFS Title request coordination
  • Task coverage for planned and unplanned absences for IFS Leadership team members.
  • Other projects and duties as assigned.

What do we expect from you?

Knowledge, Skills, and Abilities

Knowledge of

  • MS Office particularly Word, Excel, PowerPoint and Outlook.
  • Wealth Management industry

Skill in

  • Excellent oral and written communication skills in English and French
  • Customer focused, ability to multi task
  • Good time management

  • Interpersonal communication.

Ability to

  • Work effectively both independently and within a team environment;

Educational/Previous Experience Requirements

  • Minimum three (2) years' experience in the Investment Brokerage or Financial Services Industry or applicable degree in Financial Services
OR
- two (3) years in a high end service related field e.g. Hospitality, Food and Beverage.


Licenses/Certifications

  • CSC/CPH licensed would be an asset but not required
