  • This critical role's mandate is to service all drivers for receiving and shipping at the MDC. The Shipping and Receiving Clerk is responsible for such things as checking in and out appointments, receiving the proper paperwork from the driver, receiving the ASN in HighJump, reconciliation of PO's/Receipts, ensuring accuracy of BOL's and other paperwork, and providing the outbound driver with proper documentation upon pickup. The Clerk is also responsible for administrative duties such as ordering supplies, printing badges for employees, and ensuring the correct paperwork is stored for audit purposes._

What you will do:

Inbound and Outbound Service Dispatch:

  • Service Drivers and ensure positive carrier interactions and relations.
  • Check in/out all appointments.
  • Add PO to an appointment when necessary.
  • Coordinate and processes the receiving and shipping documentation including ASN's, packing slips, BOLs, Seals, QA documentation, and invoices.
  • Work closely with Operations to ensure documents are ready per dispatch times
  • Troubleshoot and process receiving PO/receipt reconciliation for all appointments in HighJump.
  • Work with Inventory Control for any PRB, damaged items, or where reconciliation of a discrepancy is not easily identified.
  • Audit documents, such as BOL's, to ensure they are completed accurately.
  • Arranges shipping schedules according to the immediate needs of customers and branches. Consolidates shipments to maintain efficiency.
  • Ensure adherence to shipping schedules to maximize efficiency and reduce costs.
  • Prioritize and collaborate with internal stakeholders (eg. daily express shipments).
  • Understand the customer needs and respond to them effectively & efficiently.
  • Support the operations team and branch in communications with customers.
  • Escalate issues to management as required.
Administrative

  • Order supplies, such as labels, paper, pens, etc.
  • Photocopy/scanning of paperwork.
  • Print ID badges for employees.
  • Print, distribute, and store load manifests.
  • Ensure timely and effective records are kept for all services.
  • Work with branch operations to resolve customer service issues.
  • Has working knowledges of the city of Toronto and the GTA.
  • Reviews the Wolseley fleet routing system.
  • Create, generate, and analyze fleet ontime reports and communicate to both externals service providers and branch operations.
General

  • Represent the company in a professional manner.

What you will bring:

  • 3+ years' experience working in a dispatch office as a dispatcher, administrator, clerk, or related role.
  • 3+ years' experience with TMS, Routing, Dispatch and / or GPS Tracking Software is an asset
  • Ideally, experience with Dispatch Track, GoFor, Syntax, Geotab, High Jump.
  • Excellent organizational skills.
  • Basic understanding of Supply Chain Processes.
  • Understanding of Dangerous Goods Handling and identification.
  • Possess communication skills including active listening, public speaking and reading written instructions.
  • Human relations and problemsolving skills.
  • Ability to foster and develop teamwork with employees.
