Position:
Accounts Payable Administrator, Permanent/Full Time


Job Location:
St. Albert, AB


Department:
Colas Western Canada Inc., Corporate Head Office

Reports to:
Accounts Payable and Payments Supervisor


RESPONSABILITIES:


Main:


  • Administering the HSBC Corporate Credit Card program including, but not limited to:
  • Verification of all expense entries including:
- matching receipts and taxes
- ensuring error free coding
- matching submission totals to statement totals

  • Administering the HSBC platform including access, updates, new users, etc.
  • Administering the Concur platform including access, updates, new users, etc.
  • Coordinating with Head Office HSBC and Concur platform contacts
  • Coordinating with subsidiary users regarding communications, questions, issues, troubleshooting, etc.
  • Reviewing vendor set up requests:
  • Reviewing vendor set up request for accuracy and consistency.
  • Submitting vendor changes, when necessary.
  • Contacting vendors to verify banking information.
  • Administering payment process for international invoices:
  • Creating payment packages
  • Retrieving purchasing and receipt documents from OnBase
  • Reviewing and compiling documents required to and ensuring policy compliance
  • Coordinating with Controllers and Head Office for signatures and payment
  • Upload and voucher invoices in OnBase
  • Post all invoices as per purchase order or coding provided
  • Calculate self assess PST portion, where applicable
  • Work with Purchasing Department to trouble shoot issues
  • Managing International Accounts Payable Outlook mailbox, answering vendor inquiries, statement reconciliation

Additional:


  • Uploading invoices into Verification Station and OnBase for processing
  • Communicating with subsidiaries and vendors on inquiries
  • Processing nonPO and PO invoices in OnBase
  • Processing invoices in all other applicable queues in OnBase
  • Reviewing issue queues in OnBase and determining corrective action when necessary
  • Administration of general accounts payable Outlook inbox
  • Reconciliation of vendor statements
  • Inquiring with vendors on missing invoices based on statement reconciliation
  • Completing stop payment requests and submitting to Accounting Assistant for processing
  • Communicating with Senior Accountants/Supervisors on accounts payable issues that arise
  • Training seasonal Accounts Payable Clerks on processing accounts payable
  • Other accounts payable related projects assigned by Corporate Controller and/or VP Finance

QUALIFICATIONS:


  • Attention to detail and high level of accuracy
  • Ability to work autonomously
  • Clear and effective communication skills
  • Strong interpersonal and organizational skills
  • Ability to meet deadlines and work under pressure
  • Working knowledge of Microsoft Word, Outlook, Excel, and Adobe software
  • Ability to work will in a fast paced, collaborative, and teambased environment
  • Adaptability to a changing work environment

EXPERIENCE:


  • Entry level position
  • No accounts payable or accounting experience required
  • Ideal for newly graduated (diploma or degree program) post secondary students looking to gain experience in a Finance and Accounting department
