Role Responsibilities:

Reporting to the Administrative Services Manager, the Facilities Coordinator provides operational and administrative services support to effectively and efficiently assist in the delivery of accommodations, telecommunications, fleet management and parking administration to the Ministry.


This position provides an extensive support role to deliver accommodations telecommunications (VOIP and wireless devices), parking and fleet management, surplus declaring agent and other ad-hoc requests.


This position works independently with mínimal supervision using sound judgment and communication skills to provide and process accurate, timely and complete information to increase operational effectiveness of the branch support strategic planning processes, and meet accountability requirements.


As a Facilities Coordinator you will:

  • Provide access cards for staff, including access card inventory maintenance Interpret technical reports and drawings, communicative effectively and translate technical information into a form understandable by the public.
  • Provide and maintain security access review for Edmonton downtown core buildings.
  • Attend all Building management meetings.
  • Submit building requests to building management when required.
  • Provide departmental assistance for wireless devices, in particular with ministry wide projects or reporting.
  • Provide assistance with parking and fleet when required.
  • Perform surplus agent and surplus declaration functions for the Finance branch.
  • Work in cooperation with fleet coordinator for office mail out and distribution.
  • Maintain updates to outlook distribution lists for Edmonton core buildings.
  • Maintain master key inventory listings.
  • Provide assistance for wireless device requests.
  • Provide cover off role for the Parking and Fleet Coordinator, Accommodation Planner and Sr. Accommodation Planner and other Finance Administration Coordinators, where required.
  • Assist department Grants in Lieu of taxes notices.
  • Perform site visit for Edmonton core buildings when required.
  • Work on Ad-Hoc and special projects as required.

Qualifications:


Required:


  • Oneyear certificate in a related field. Minimum of two years related work experience, preferably in a facility administrative role.

Equivalencies considered:

Additional related education considered in lieu of experience on a one-for-one basis.
