Your Opportunity:


The purpose of this role is to greet visitors creating a favorable experience, answer phone calls, direct inquires to the appropriate departments or individuals, and to support AP/AR functions accordingly to improve efficiency and productivity.


Main Duties & Responsibilities:


  • Assist departments administratively: data entry, creating spreadsheets, organizing and converting PDF documents.
  • Calculate and compile communicationrelated statistics, and prepare reports for management
  • Collect payments for orders, record transactions, and send items such as cheques or money orders for further processing
  • Compare and match carriers' waybills with invoices and/or purchase orders in order to verify accuracy, and then forward to be approved for payment
  • Maintain a presentable and professional organizational image: maintain cleanliness in front lobby, tidy meeting rooms before and after all meetings, monitor and maintain beverage supplies in boardroom
  • Manage food orders for meetings and expense to appropriate department's budget
  • Manage office calendars: Coordinate with and assist employees with scheduling meetings in boardroom or meeting room.
  • Notify Purchasing when supplies of items are low
  • Perform general office duties such as filing, answering telephones, and handling routine correspondence
  • Perform reception duties, open incoming mail, clerical procedures, and manage files and records
  • Prepare invoices and shipping/customs documents
  • Receive and respond to customer complaints and report complaints to our VP of Sales and Marketing for complaint tracking and so corrective or preventative actions can be determined
  • Additional duties as assigned.

You Have:


  • Completion of secondary school
  • Minimum 2 years' experience in a similar position
  • Experience in refrigeration or similar equipment industry is beneficial
