SUMMARY:
Tomlinson Environmental Services Ltd. is currently seeking an individual to join our operations team in Kingston, ON.
Reporting to the Operations Manager, this role provides a critical service to the Operations team by assisting with daily scheduling and dispatching of manpower, coordinating appropriate resources for specified jobs, ensuring all equipment & associated documentation is kept up to date and oversee our end-of-day processes.
This is a full-time position.Location: 633 Fortune Crescent, Kingston, ON
PRIMARY RESPONSIBILITIES:
At a high level, the Operations Administrator is responsible for:
- Daily Route closing, route audits, and route optimization
- Control inbound/outbound loads coming through scale
- Communicate with yard personnel of inbound activity on site
- Administer & support garage staff (maintenance work orders, parts/service purchase orders)
- Work with Operations Manager to manage bin/asset inventory
- Provide excellent service to both internal & external customers
- Communicate with customers as required to clarify & determine service needs
- Communicate with Sales team to inform them of any issues that arise that impact task completion
- Communicate with internal departments such as Sales and Accounting to resolve problems or complaints
- Review, manage & resolve formal customer issues in a timely manner
- Monitor drivers' progress to ensure daily pickups are completed
- Coordinate 3rd party trucking and contractors when and as required
- Other duties as assigned
WORKING CONDITIONS:
- Office environment; long periods of sitting may be required

QUALIFICATIONS AND EXPERIENCE:
- Competent in using Microsoft Excel, Word and Outlook
- Previous dispatching experience in a fastpaced environment is considered an asset
- SAP experience is an asset
- Bilingualism is considered an asset
- Data entry accuracy required
- Understanding of Hours of Service, understanding of Transportation of Dangerous Goods, Regulation 347 (including manifesting requirements) and Certificate of Approvals would be an asset
- Excellent interpersonal, time management and prioritization skills
- Strong organizational skills with demonstrated ability to balance multiple priorities, ensuring timely and accurate completion of tasks
- Strong written and oral communication skills
- Demonstrate problem solving, trouble shooting and negotiating skills
- Ability to collaborate as part of a team and have a "can do" attitude
- Selfmotivated, able to work with mínimal supervision
- Adaptable and flexible to changing requirements of the job
