The
Toronto Centre for Liver Disease located at Toronto General Hospital is a University Health Network Centre of Excellence for viral hepatitis and autoimmune liver disease.


Position Summary


Working under the direction of a Principal Investigator and/or more senior staff, the Administrative Assistant-I collaborates with MD and multidisciplinary health care team, utilizes knowledge of medical terminology and exercises judgment or decision-making to provide secretarial and clerical services, in support of professional/medical personnel.


Duties

  • Providing word processing/typing services for assigned personnel;
  • Performing reception responsibilities;
  • Maintaining written and/or electronic calendar/schedules;
  • Administering and monitoring billing procedures and budgeting records;
  • Providing support with arranging small and/or informal meetings / teleconferences / events;
  • Organizing travel and hotel arrangements and follow up on travel and expense reimbursements;
  • Maintaining and modifying confidential medical electronic/paper filing/retrieval methods, systems, and/or formats;
  • Communicating with patients in the healthcare setting, ensuring the efficient operation of the office;
  • Ensures maintenance of office equipment;
  • Working closely with other administrative assistants in the department;
  • Performing other related clerical activities;
  • Performing crossfunctional responsibilities, as assigned.

Qualifications

  • Community College Diploma in General or Medical Office or equivalent Administration required;
  • 12 years' experience working for principal investigators and/or as an administrative assistant to a senior executive, preferably in health care;
  • Strong knowledge of medical terminology asset;
  • Experience minutetaking at meetings;
  • Excellent interpersonal skills and demonstrated ability to work effectively, both independently and as a team member;
  • Excellent verbal and written communication skills;
  • Ability to effectively handle confidential matters and materials;
  • Ability to work well under pressure;
  • Knowledge of administrative, organizational/office practices, procedures and standards.
  • Proficiency in Mandarin and/or Cantonese verbal and written communication skills is an asset.

Required Skills:


  • Excellent verbal and written communication skills in English;
  • Proficiency in EPIC and Pathways Healthcare Scheduling (PHS);
  • Proficiency in OHIP billing;
  • Computer proficiency (Microsoft Office environment, Word, PowerPoint and Excel);
  • Excellent organizational and time management skills.
