Student Services Assistant:
Primary Purpose:
To provide administrative and clerical support to the Student Services Office, College of Law.
Nature
of Work:
Reporting to the Director of Administration, this position works as a team member within the Student Services Office; including reception, calendaring, admission processing; registration, course builds, exams, and assistance to the other administrative staff in the office/college.
The Assistant is part of a Student Services team who must be able to interact knowledgably and courteously with a diverse group of individuals with a high level of customer service, tact, cultural sensitivity, confidentiality, and expertise.
Attention to detail is critical as impact to errors are high. The Assistant must be able to shift priorities and workflows based on deadlines.The staff member will be required to work in an ever-changing environment, adapting to shifting priorities and timelines and frequent interruptions.
Accountabilites:
- Act as one of the primary contacts for the College of Law Student Services office.
- Provide calendaring and administrative support for two Associate Deans.
- Assist in maintaining student records including working in PAWS, Banner, SiRIUS, DegreeWorks and Document Management systems.
- Assist with admissions processing for Law.
- Assist with course build.
- Assist with the exam schedules including accommodations for students, supplemental and deferred exams, invigilation schedules, vetting of exams by faculty; reproduce and store exams; and documenting all exams grades.
- Support the College's First Year Orientation Committee.
- Act as one of the overseers of room scheduling for the College.
- Work closely with the other admin staff within the Student Services Office including coverage and assistance during peak periods.
- Learn and understand program requirements for the JD and LLM programs.
- Liaise and communicate policies, procedures and notices to the students, faculty and staff.
- Prepare reports as requested.
- Other duties as assigned.
Qualifications
Education:
A certificate from a recognized post-secondary diploma in office administration. A combination of education and experience may be considered.
Experience:
Minimum of two to five years of related administrative experience. Experience using University systems, databases and manipulating data in Excel is required. Working knowledge, in all or some of, Banner, SiRIUS, PAWS, and Degreeworks, Recruit is required. Consideration may be given to those that do not have current experience in these areas.
