The FHS
Corporate Services team
is dedicated to creating and maintaining a safe, clean, inspiring educational and research environment for its faculty, staff and visitor.

The department supports a variety of aspects within the FHS space; housekeeping, room bookings, waste management, space planning, mail services and more.

As part of the team you interact with a wide range of departments and work space with both internal and external vendors.


Job Summary
Responsible for ensuring the provision of frontline customer service to all individuals and organizations using the facilities. Supervise daily operational needs for the facilities.


Duties & Responsibilities

  • Answer incoming calls and respond to direct inquiries about facilities. Receive and respond to customer complaints or any major incidents, such as security issues or health and safety incidents and report to the appropriate area. Escalate problems to appropriate department supervisors.
  • Provide feedback on procedures, policies and standards for customer service and make recommendations.
  • Provide information on department policies, products, equipment and make recommendations based on customer requirements.
  • Develop and conduct training for customer service and staff regarding facilities.
  • Support operations with general maintenance and upkeep, facility set up, equipment inspections, minor repairs and replacement.
  • Support facility rental contracts for internal and external groups and validate the terms of the agreement.
  • Support with Facility scheduling room bookings.
  • Perform set up and take down of equipment as required for a variety of events, programming.
  • Ensure equipment and storage areas are clean, orderly and secured.
  • Liaison with hospital and stakeholder partners to ensure compliance to appropriate operating policies, procedures and guidelines with respect to construction projects and renovations.
  • Order furniture and equipment for new and existing spaces
  • Oversee various space, equipment and contact databases.
  • Update database including but not limited to, training manuals, reports, contracts, correspondence, posters, and flyers.
  • Maintain facility information on department website.
  • Oversee facilities for various events.
  • Coordinate and conduct tours of the facilities for new and potential users.

Supervision

  • Ongoing responsibility for hiring and supervising 10 or more casual employees.
  • Provide training and orientation to casual employees.

Qualifications

  • 2 year Community College Diploma in Office Administration or related field.
  • Minimum 3 years of relevant experience, including 1 year in a supervisory role.
