Position Overview:


Reporting to the Director of IT Infrastructure and Services, the IT Asset Coordinator is responsible for managing the procurement, delivery, and distribution of IT products and services, including software and hardware.

This role collaborates with the Finance department to maintain accurate IT budget information and assists in approving and reconciling all IT-related invoices.


Primary Job Functions:


The duties of the
IT Asset Coordinator include:


  • Compile, prioritize, schedule, and conduct annual software reconciliations to ensure compliance with usage and deployment rights as per governing agreements.
  • Produce detailed and summary audit reports following software reconciliations to prepare the organization for potential software audits.
  • Identify costsaving opportunities during reconciliations to ensure value for investments.
  • Consult with stakeholders to interpret license models and address noncompliance issues.
  • Facilitate and track remediation of noncompliant software reconciliations.
  • Identify opportunities to simplify or standardize license versions when appropriate.
  • Prepare and maintain both physical and electronic records of IT assets.
  • Ensure accuracy in IT asset tracking information from all sources, implementing care to avoid errors.
  • Research and share new concepts to support informed decisions on adopting new policies, processes, procedures, and technologies.
  • Develop, implement, and promote policies, processes, and procedures for software/hardware acquisitions, installations, usage, and disposition.
  • Facilitate and support the refinement or development of asset management and compliance processes.
  • Calculate and report annual hardware replacement values to Finance.
  • Provide assistance and coverage for technical aspects of asset management and compliance positions.
  • Manage and maintain the IT budget, ensuring accurate information in collaboration with Finance.
  • Assist the Director of IT in approving and reconciling all ITrelated invoices.

Qualifications & Requirements:

- **Education**:
  • A post
  • secondary degree or diploma from a recognized institute in Business, Finance, Computing Science, or in a related area.

Experience:


  • Minimum of three (3) years of work experience in a fastpaced support center role.
  • Minimum one (1) year experience in a dynamic business environment dealing with Information Technology.
  • Experience working with Asset Management tools.

Skills & Abilities:


  • Professional designation dealing with Information Technology Asset Management is an advantage (e.g., CSAM, CITAM, etc.).
  • Familiarity with various financial policies and practices (IFRS) is an asset.
  • Familiarity with various acquisition legislations (CFTA/NWPTA) is an asset.
  • Proficient in all standard Office tools (Excel, Word, Project).
  • Ability to work in a highstress, everchanging work environment while managing multiple projects and prioritizing tasks and assignments.
  • Demonstrated analytical, decisionmaking, and problemsolving skills.
  • Strong communication skills and the ability to build effective working relationships with a variety of stakeholders.
