    Position Summary

    Under the general direction of the Manager of Graduate Scholarships and Awards the Graduate Scholarships and Awards Coordinator will be responsible for managing all Undergraduate Tri-Council awards (USRA), the Undergraduate Research Award (UGRA), Endowed Scholarships and Awards for graduate students, As well as assisting the Manager of Scholarships and Awards with the administration of all other graduate award and scholarship programs (with a total value over $6.0 million). This position will also provide expertise and recommendations on policies, procedures, terms and conditions of all internal and external graduate awards.

    What You'll Do:
  • Assisting with the development of student funding budgets (in consultation with the Manager of Scholarships and Awards), and includes the ongoing monitoring and management of accounts specifically related to this position;
  • Assisting with the assignment, disbursement, acceptance and cancellation of awards and data entry;
  • Responsible for maximizing the success rate of the University's applicants in federal competitions and planning and implementing the marketing of awards to students and faculty through information, workshops and publications specific to the awards assigned to this position;
  • Reviewing recommendations from academic units for these awards; initiating award offers, monitoring responses, approving and processing payments including data entry of internal and external awards to graduate students;
  • Managing and processing of various funding programs including Undergraduate Tri-Council awards (USRA), the Undergraduate Research Award (UGRA), Endowed Scholarships and Awards for graduate students, as well as assisting the Manager of Scholarships and Awards with the administration of all other graduate award and scholarship programs;
  • Assisting the Manager of Scholarships and Awards with Tri-Council granting agencies for all graduate student award programs;
  • Working with the Manager of Scholarships and Awards on deadlines and internal selection procedures for U of R; advertising program information for academic units, and students;
  • Back up to the Manager of Scholarships and Awards with the Scholarship & Awards Committee, and other related committee's;
  • Identifying and drafting policy material for the Manager of Scholarships and Awards to present to the FGSR Leadership team;\
  • Ensuring that all deadlines are met in a timely manner;
  • Research graduate funding best practices and make recommendations to the Dean;
  • Assist with maintenance of the Scholarship and Awards database;
  • Develop and facilitate new Graduate Co-ordinators orientation;
  • Prepare and maintain statistical and informational reports for the FGSR Leaderships team;
  • Assist with project work/testing/research related to this position;

  • Position Requirements What You'll Bring to this Position:
  • University undergraduate degree (Master's degree preferred)
  • Three to five years of management experience, including experience in bookkeeping and accounting;
  • Combination of education and experience may be considered.
  • Skills That Will Ensure Your Success in the Role:
  • Knowledge of the University organization, policies, and procedures;
  • knowledge of budget development and financial account reconciliation;
  • Demonstrated analytical and organizational skills are essential;
  • Demonstrated and progressive experience in assisting with the development of policies and procedures is essential;
  • Demonstrated ability to ensure exacting deadlines are met accurately and error free;
  • Knowledge of student merit-based graduate awards administration in a University setting.
  • High level of computer expertise and advanced skill set of related areas coupled to experience with presenting information/data utilizing spreadsheets.
  • A thorough knowledge of the Tri-Council funding programs at the level of their policies and procedures is required to effectively administer their awards programs;
  • Mathematical abilities related to developing and understanding applied formulas and monitoring budgets;
  • Fiscal management experience;
  • Excellent interpersonal skills and ability to establish and maintain effective working relations in a multi-cultural environment.
