The Site Administrator is located in Downtown Toronto and typically reports directly to the Contract Manager.

Duties and responsibilities include but are not limited to:


  • Preparing/submitting payroll
  • Preparing documentation to assist Accounts Receivable/Payable (e.g., Invoices, Purchase Orders, etc.)
  • Engage partners in billing, A/R management, and collections activities
  • Assist the contract manager in planning and scheduling
  • Assist with material/equipment procurement
  • Productivity reports, monthly client reports
  • Manage airport lost and found office
  • Manage JDE Computerized Maintenance Management System (CMMS)
  • Handle customer calls in a polite and efficient manner
  • Ability to work in a multitasked, fastpaced, and changing environment Handle customer calls in a polite and efficient manner
  • Documentation control—photocopy and collate documents for distribution, mailing, and filing
  • Review dashboards and assist in data analysis
  • Reference and maintain hard and soft copies of Maintenance Agreements
  • Provide PM schedule to subcontractor and schedule visits
  • Confirm and validate subcontractor services via report submissions
  • Other duties as assigned

EDUCATION REQUIREMENTS

  • High School Diploma
  • Degree or Diploma in Office Administration or related would be considered an asset

WORK EXPERIENCE REQUIREMENTS

  • 5 years in an office environment in an administrative role

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

  • Proficient knowledge and understanding of:

  • Meet all deadlines
  • Ability to multitask

Proficient user of:

  • MS Office (Word, Excel, Project)
  • JD Edwards or an Oraclebased ERP system considered an asset
