Position Summary:

Under the direction of the Director of Development, Database Assistant and Stewardship Support

is responsible for providing professional administrative support, professional data entry and

financial administrative support to the Donor Relations department on an as need basis. This

support includes the handling of donor inquiries and general inquiries into the Donor Relations

department, processing of daily mail and balancing of donations for deposits, data processing of

donations into Raisers Edge & co-ordination of all donations, receipts and mail relating to

donations, maintaining the donor database to be current and up-to-date, this includes mail code

updates. They will also be responsible for executing donor stewardship tasks including mailing

commemorative cards, and other administrative tasks as assigned. They will also be the back up

for telephone inquiries and donations.

This position is privy to confidential financial information surrounding donations, fundraising,

budgets, and donor data.

Duties and Responsibilities:


  • Assist with the opening of WHS daily mail on a random schedule and assist with the sorting
of donations into categories to ensure accurate and efficient data processing into Raisers
Edge

  • Provide data entry support following established policies and procedures for the
processing of WHS donations utilizing Raisers Edge software

over the phone, in person, and online

  • Updating donor database to ensure all database changes specifically mail codes are
current and up to date, and duplicates are merged

  • Scanning electronic copies of donation slips into our hard drive
  • Working with the Donor Relations support team to ensure all donations are recorded
correctly and in a timely manner

  • Performing mail merges and printing commemorative cards, thank you letters, and other
donor stewardship materials as requested

  • Providing backup support to telephone inquiries and donations
  • Providing support during Donor Relations events
  • Assisting with other duties as assigned
