Compensation Range

Job Summary- an annual enhancement cycle of the admissions system to make improvements and develop new features,
- strategic decision support regarding viability of the existing solution vs. replacement with alternative solutions,
- integrations to the UBC ecosystem and required changes to ensure compatibility of the admission system with other integrated UBC systems.
Support for business analysis or system administration in other G+PS systems is provided as needed and in collaboration with another business analyst.
The Business Systems Administrator/Analyst reports to the Assistant Dean, Strategic Technologies and Business Initiatives and works closely with the Assistant Dean, Student Administration and Awards, the Business Analyst - Graduate Education Processes and Systems and the Manager, Data and Systems Analysis.
Work Performed
Systems Maintenance, Testing, Documentation, Support and Training (70%)
Responsible for maintaining, testing and troubleshooting various systems in the Faculty, predominantly the admissions system
This includes:
- Serves as a first point of contact for UBC users experiencing system problems;
- Troubleshoots and resolves or summarizes and escalates bugs and other functional problems with student systems as appropriate to responsible senior staff within G+PS, UBC IT, Enrolment Services Business Operations Team and vendors;
- Liaises with technical teams to resolve tickets to the satisfaction of clients;
- Runs reports to support data analysis and business operations;
- Leads and directs the participation of other Academic Support Unit staff in system user testing;
- Makes minor configurations within student administration systems to improve performance for business needs;
- Provides training to 140 graduate programs across the Vancouver campus critical to functionality and correct operation of system options;
- Monitors and improves security of accounts;
- Develops and delivers a variety of documentation and training materials, in various formats including video tutorials and live presentations, schedules and delivers training sessions to unit staff and external clients on system functions and improvements;
- Also expected to provide adhoc training on an as required basis.
- Analyzes gaps in business processes and proposes system solutions;
- Documents requirements and recommends options and solutions to address them;
- Leads engagement and discovery sessions to identify most ideal solution;
- Builds consensus and manages expectations with stakeholders about system capabilities;
- Collaborates on strategic enhancements and system improvements under the direction of the Assistant Dean;
- Crafts, submits and tracks Project Initiation Requests (PIR) to ensure timely implementation;
- Coordinates and supports prioritization meetings between system users (UBCV, UBCO, Sauder Executive Education);
- Liaises with stakeholders in graduate programs and G+PS to ensure new business processes and systems solutions are responsive to unit needs;
- Communicates changes to stakeholders and manages rollout of new features and enhancements.
