Hybrid mode: 3 days in the office and 2 days at home

THE ROLE:


Reporting to the Director of Financial Accounting, within the Global Shared Services team, the Assistant will assist members of the Finance and Information Technology departments by taking charge of their administrative needs.


WHAT YOU WILL DO:

Here are some ways you can make a difference:

  • Work in collaboration with accounts payable to open and modify accounts payable in the accounting software;
  • Process certain invoices and forward them to the right people for approval;
  • Perform translation (English/French) of various documents;
  • Followup and management of the agenda, calls and signature files of directors;
  • Organization of meetings, ordering dinners and booking of conference rooms;
  • Notetaking and drafting of minutes;
  • Lay out letters, reports, tables and presentations;
  • Management of the expense account platform. Creation and modification of users;
  • Organize travel and make the necessary reservations for travel;
  • Update documents on the company's intranet;
  • Replace upon receipt upon request;
  • Receive correspondence, file and follow up appropriately;
  • Assist with the organization of events (e.g. Golf Tournament, United Way Fundraiser); and
  • Perform other administrative duties.

WHAT YOU'LL NEED:

REQUIREMENTS:


  • DEC in secretarial work or relevant training in secretarial or office automation;
  • Minimum of five (5) years of relevant experience as an Executive Assistant;
  • Essential bilingualism (French-English);
  • Very good knowledge with software (Word, Excel, Outlook, PowerPoint, etc.);la suite Office
  • Autonomous, dynamic, very meticulous and eager to deepen her knowledge;
  • Ability to build excellent relationships with internal and external stakeholders;
  • Good ability to work in senior management settings;
  • Integrity and confidentiality without reproach;
  • Management of several files simultaneously;
  • Ability to manage stress while delivering mandates within prescribed deadlines; and
