STATEMENT OF PURPOSE


Reporting to the Database Administrator, the Donor Engagement Associate is responsible for accurate entry of high volume of donor contributions using the appropriate software (Raiser's Edge).

Responsible for creating charitable receipts and thank you letters associated with donor contributions. Responsible for executing reports that will guide staff members according to stewardship practices for donors. Ensures the reliability of new and existing donor information. Responds to general inquiries to the Foundation and directs to appropriate staff member.


MAJOR RESPONSIBILITIES
In addition to other duties which may from time to time be assigned, and consistent with the prescribed practices, procedures and policies of the Foundation, the incumbent under the direction of the Database Administrator:

Database Entry

  • Work with the Database Administrator to maintain the Raiser's Edge database system.
  • Entering donor gifts and information into the Foundation donor database system.
  • Adding new records and updating existing records where applicable based on new information.
  • Mailing appropriate thank you letter, official and nonofficial tax receipts for donors in a timely and efficient manner.
  • Coordinate with Database Administrator to ensure that supplies associated with letters/receipting are available.
  • Review and recommend best practices for database procedures.

Donor Inquiries

  • Respond to donor inquiries, take messages, and refer to appropriate staff member.
  • Confirm by telephone where necessary donor gift amounts and processing of donor gifts in the database.
  • Respect donor confidentiality and adhere to the Donor Bill of Rights.

Fundraising Support

  • Conducts and shares prospect research with fundraising team as required.
  • Generate requested reports that will support the fundraising strategies of the team.

Other

  • Work as a team player promoting a positive and professional work environment and executes role with integrity and respect.
  • Act as an Ambassador throughout the community, positively representing the Foundation.
  • Abide by the policies and procedures of the Foundation and the Hospital.
  • Abide by the professional and ethical standards of practice set out by the Association of Fundraising Professionals (AFP) and Imagine Canada.
  • Operate within the culture and core values of the organization.
  • Pursue professional development and continuing education opportunities as well as seeking informal opportunities to expand professional knowledge through consultation with peers.
  • Other duties as assigned in order to meet the overall goals and objectives of the Queensway Carleton Hospital Foundation.
  • Ability to organize, prioritize and manage multiple tasks with accuracy, attention to detail and confidentiality.
  • Commitment to teamwork and willingness to assist other staff members as needed.
  • Commitment to the highest quality of donor care and willingness to proactively resolve donor concerns.

POSITION REQUIREMENTS:


  • Postsecondary degree or diploma in relevant discipline
  • A minimum of (2) years of experience in a fundraising or donor relations role.
  • Demonstrated excellent written and oral communication skills.
  • Database experience is necessary, specifically in Raiser's Edge

PREFERRED REQUIREMENT:


  • Experience in healthcare or educational environment considered an asset

WORK ENVIRONMENT

  • Works in a typical office environment and predominately a standard work week.
  • It is understood that there will be times when peak workload periods or QCHF events require additional time /effort
