Working for the Department of Laboratory Medicine & Pathology
As part of the University of Alberta Faculty of Medicine & Dentistry, the Department of Laboratory Medicine & Pathology serves as an academic Centre of Excellence in Medical Laboratory Sciences, Pathology, Environmental Health Sciences and Toxicology through excellence in education, research, and clinical service delivery in partnership with Alberta Precision Laboratories.
The Department is made up of seven divisions and numerous specialty training program including five residency training programs, six MD fellowship programs, four clinical PhD fellowship programs, and a graduate studies program with a Pathologists' Assistant Program.
Through the Division of Medical Laboratory Science, the Department also offers a four-year undergraduate degree program, in which students acquire General Certification from the Canadian Society for Medical Laboratory Science (CSMLS) and a BSc in Medical Laboratory Science (MLS).
Position
The MLS Administrative Assistant provides general support for administrative activities within the BSc in Medical Laboratory Science (MLS) program.
Under mínimal supervision of the Academic Department Manager and MLS Program Director, this position requires high levels of communication, organizational and interpersonal skills.
The individual in this position would have the ability to take initiative, make proactive decisions, be creative, and thrive in a fast-paced working environment.
Duties
- Act as the first point of contact for MLS Program inquiries, responding and/or redirecting to Division areas as appropriate
- Provide administrative support to Course Coordinators including confirming facilitators, building and posting material in the Learning Management System, ordering and assembling lab manuals or print course materials, compiling and posting student grades, and administering student course evaluations
- Review and confirm course and exam timetabling information for the MLS Division in collaboration with central timetableing teams
- Provide administrative support in the preparation of Medical Laboratory Science Division accreditation requirements
- Support coordination of Division events including DRIvE Days, Student Interviews, U of A Open House, and MLS Graduation Celebration
- Provide general administrative support for Department of Laboratory Medicine and Pathology activities including basic financial administration tasks, meeting scheduling and coordination, document drafting, data entry, records management, and other duties as required.
Minimum Qualifications
- Undergraduate degree, a combination of education and experience will be considered
- Minimum 3 years of progressive administrative experience, preferably within postsecondary academic organization
- Computer proficiency in a Windows environment using MS Office as well as Google Suites

- Excellent communication and interpersonal skills
- Strong problem solving and attention to detail
- Excellent organizational skills with the ability to prioritize competing tasks, effectively manage time and workload to meet deadlines.
- Agile and adaptable; capable of shifting focus as priorities change.
- High level of tact and discretion; maintain and ensure absolute confidentiality
- Experience working in a team environment and ability to work with mínimal supervision
- Experience within the University of Alberta, College of Health Sciences experience preferred
