Duties and Responsibilities
*These duties are for the daytime and nighttime Coordinators alike, to be implemented in their respective contexts and shifts.
Maintain team unity through spiritual leadership, stewardship and direction.
- Ensuring that team leads (or supervisors) are consistently leading daily devotions. The coordinator is encouraged to join or lead some of them.
- Ensure that the Supervisor on shift is encouraged to attend Wednesday prayer meetings.
- Regularly check in on staff
Day-to-day supervision of Supervisors, Team Leads, and all Intake Staff.
- Ensuring that supervisors are fulfilling their duties as outlined in their job description and the supervisors' daily duties list.
- Regularly meet with supervisors for a checkin.
- Address any staff issues that come from the supervisors.
- Be on the floor with staff, observing and assessing their performance in executing their task, and ensuring that they are accurately executing their tasks.
- Regularly check with the supervisors to ensure that they are connecting with all the teams and assessing the needs of the teams.
- Address any staffing issues or breaches of policies as you observe them.
Implementation of shelter policies and procedures as directed by the Manager.
- Ensure that all shelter staff are compliant with existing policies
- Update shelter supervisors on new/updated policies
- Ensure that any newly communicated policies are part of the Team debriefs.
Address staff disciplinary concerns and issue write-ups (only the manager can escalate an issue to termination) whenever necessary.
- Collaborate with the Staff development coordinator to determine event investigation and the appropriate action, including disciplinary actions.
Liaise with Team Leads, Supervisors, and Coordinators from another department to ensure inter-department collaboration.
Liaise with the Food Services Manager for all shelters-related matters (you can seek support from other shelter leaders).
- Meal lines, Sandwiches, snacks and any special events or expenses.
Connect with the Logistics team regarding supplies, uniforms, meals transportation, and other day-to-day operational needs.
Evaluate the condition of the shelter premises daily upon arrival for maintenance, upkeep, or cleanliness. Work on the necessary tasks needed to resolve any issues.
- Ensure that security requirements are being used properly
- Ensure that staff stationed at our doors are easily and quickly giving access to community members into the building.
- Ensure that we are reducing crowds around our entrances.
- Ensure that encampments and not being built around our buildings, and that people using drugs on our properties are being asked to use elsewhere (even across the street).
- Ensure that our building, and spaces are looking good, clean and presentable.
- Ensure that TV displays at HJC are displaying the proper slides.
- Ensure that we don't have community members sleeping on the floor in our lobby and communal spaces.
Review the Guard tour system to ensure that shelter staff are properly doing their rounds.
Regularly assess and review the intake process and recommend improvement to the Operations manager.
Ensure that the supervisors and Team leads are being good stewards of our company equipment.
Daily review of the shelter's Bar and ensure that the Bar placed is appropriate and consistent with our barring policies.
Ensure that Supervisors are properly executing their administrative responsibilities

Be one of the after-hours emergencies contacts for staff on shift.
Continually offer feedback to management regarding program needs.
Perform other duties as instructed by Manager.
