This challenging position will be reporting to the Clinical Leader/Manager of Medical Daycare/Oncology/Infectious Diseases.

In this role, the Administrative Assistant will be an integral part of the Team, ensuring optimal care for patients, family and staff.


Duties will include but not limited to:

  • Compiles and presents monthly statistical data in an orderly, informative manner.
  • Prepares slides, powerpoint and presentation materials as necessary.
  • Organizes and coordinates regular meetings and education sessions including; room booking, catering, audiovisual support and materials/Media Publication
  • Management of CLM calendar
  • Minute taking
  • Provides computer and administrative assistance in academic activities (e.g. literature reviews, abstract submissions, academic presentations etc.)
  • Provides excellent customer service and serves as a frontline representative and communication relay person
  • Provides assistance with the preparation of documents, correspondence, spreadsheets and teaching materials for seminars and lectures, and grant proposals/publications, and filing.
  • Prepare minutes, maintain binders, format policies and procedures, draft staff schedules
  • Answer phones, relay messages, sort mail, order supplies, file and photocopy;
  • Arrange interviews
  • Maintain personnel files and staff database summaries for training and certification;
  • Assist with coordination of special events;
  • Data entry of the biweekly payroll as per WFM
  • Ability to effectively manage and analyze data
  • Building schedules or familiar with scheduling software

QUALIFICATIONS

  • Minimum of 2 years previous administrative experience in a Hospital setting required.
  • Progressively responsible administrative experience acquired through a 2 year secretarial program and/or equivalent combination of education and experience.
  • Proficient computer skills with advanced knowledge of word processing, spreadsheet, graphics and desktop publishing software, i.e. MS Word, Excel, Powerpoint etc.
  • Project management skills
  • Excellent interpersonal and communication skills.
  • Ability to work independently and to manage competing workloads.
  • Demonstrated ability to work cooperatively and in a team environment.
  • Must have excellent attendance/punctuality.
  • Demonstrated understanding of the Hospital's mission and values.
  • Previous experience working in a health care setting and knowledge of medical terminology would be a definite asset.
