Primary Focus:

The Scheduler reports directly to the Administrative Supervisor. They are responsible to schedule meetings for the DSOER team such as DSO assessments, appointments and community events.

They will be required to prepare DSO packages for clients, documentation for community events and provide general information as required.

They will be required to manage DSOER management meeting agendas/minutes, develop survey documents, and document formatting as needed.


Primary Responsibilities:


  • Manage file information related to the scheduling of DSOER assessments as per predetermined criteria.
  • Assist people with developmental disabilities and their families/caregivers by providing information about MCCSS developmental services and the DSO assessment process.
  • Update individuals on specific case information in order to plan for their specific assessment interviews.
  • Schedule ADSS and SIS interviews with individual and support network assuring that valid respondent criteria are met as per DSOER best practices.
  • Provide individual/respondents with written followup information regarding the scheduled interviews using the DSO preassessment package.
  • Inform DSOER team members of booked meetings via internal communication processes.
  • Manage appointment changes such as cancelations and requests for rescheduling as per client or DSOER needs.
  • Input file data and maintain the accuracy and integrity of information contained in client files in accordance with established standards.
  • Develop and maintain individualized workplan related to job expectations and outcomes as outlined by DSOER direct report and MCCSS fiscal requirements (i.e number of assessments to be scheduled for completion per fiscal year).
  • Manage DSOER management internal and external meeting agendas/minutes
  • Provide formatting of documents related to DSOER correspondences, processes, projects, etc
  • Provide backup administrative support to DSOER in the way of agendas, minutes, document formatting and Survey development.
  • Performs other duties as assigned.

Knowledge and Skills:


  • A minimum College diploma in Office Administration or Business Administration preferred, or equivalent combination of education and experience.
  • Two or more years of administrative office experience in a similar environment an asset.
  • Excellent verbal and written communications skills in both French and English, and strong business writing skills are essential.
  • Intermediate knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Outlook.
  • Proficiency in the use of databases.
  • Good knowledge of customer service principles and practices.
  • Effective listening and problemsolving skills.
  • Ability to follow direction and work as a member of a team.
  • Commitment to a professional work ethic, working cooperatively and collaboratively with internal and external customers, clients, volunteers and partners while demonstrating a strong customer/client orientation.
  • Selfdirected with superior organizational and time management skills with an ability to manage overlapping priorities and multiple areas of responsibility.
  • Demonstrated ability to keep thorough records and maintain clear and organized client file system.

Working Conditions:

Work is normally completed within a standard office environment. Constant interruptions may be expected, however work is generally scheduled with priorities established in advance.
