What you will do

Are you a career administrative professional looking for a new challenge at the heart of Canada's economy? Join our dedicated Executive Services team and provide bilingual, efficient and effective administrative support to one or more of the Bank's executives.

In this position, you ensure that the administration and coordination of the executives' day-to-day activities run smoothly and on time and you assist in delivering the objectives of their office.

Collaborating with team members, you contribute to the identification, improvement, and creation of best-in-class executive administration practices.


More specifically, you will:
- proactively manage the Executive's calendar to maximize the efficient and effective use of their time (incl. scheduling meetings, assessing competing priorities when accepting or rejecting invitations, delegating events to the Executive's direct reports, resolving meeting conflicts, etc.)
- organize documents the Executive requires for internal/external meetings or business events such that they are available electronically from their Bank devices, including preparing and circulating agendas, researching, and preparing background and/or general information with support from other internal departments as needed
- coordinate travel arrangements, registrations, and complete expense claims on the Executive's behalf in a timely manner for proactive disclosure
- demonstrate effective relationship management with internal and external partners to support your executive's objectives


What you need to succeed


To be considered for this position, you need excellent oral and written skills as well as strong interpersonal skills with individuals at all levels.

You also need to inspire confidence by taking accountability for what needs to get done, working with mínimal direction, showing initiative and being flexible while taking on multiple priorities under tight deadlines.

In this role, being able to think ahead, prioritize and organize work effectively, research and process information and logically assess its implications is also key.


You will be required to maintain a high level of accuracy, provide special attention to quality and details even as priorities change and urgencies arise.

As part of our great team, you'll work both independently and in a team environment where mutual support is essential.

You will also need to respect the confidentiality of the information that you'll be privy to and exercise sound judgment while having the ability to understand the Bank's mandate and internal workings.


Nice-to-have:

- working knowledge of SharePoint
- working knowledge of Microsoft Dynamics 365 CRM


Your education and experience
post-secondary education in a field related to the position and a minimum of three years of progressively more responsible experience working in an administrative capacity within an executive environment or an equivalent combination of education and experience may be considered


What you need to know

  • Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.
