Position Summary:
Under the direction of Senior Financial Officer, the Administrative Coordinator (AC) provides administrative and fund support for all funds within the A&R jurisdiction.
The AC will regularly monitor and report on the financial activity in all funds and ensure compliance to all internal and external policies and regulations.
The AC will participate in ensuring a smooth functioning in Client Services Area. Act as a resource person and resolve problems in both Finance/Business Office and Client Services matters.Major Duties and Responsibilities:
- Act as a primary point of contact for unit heads requiring financial transactions.
- Validate expenditures for compliance with policies and regulations using reporting tools and protocols advocated by Financial Services.
- Assist Business Office and Client Services in daytoday operations.
- Perform Activities in Client Services such as, client registration, camp enrolment, memberships and locker sales when required.
- Reconcile A&R funds on a monthly and quarterly basis.
- Maintain the stationary inventory and place all stationary orders in MMP when needed.
- Run the daily instore and online Redbird store deposits, create H-Document, and follow up and resolve any issues that may arise.
- Process all accounts receivable's requests for invoicing, detail code and client ID.
- Assist in reconciling and counting cash or petty/cash and floats with Accounts Administrator monthly.
- Assist in submitting purchase order (PO) requests, ensure all are compliant and verifying if funds are available before processing them in MMP.
- Responsible for collecting all lockers money, deposit and create H-Document.
- Act as a backup for Business Office and Client Services.
- Assist and participate in any project related to A&R unit when required.
Other Qualifying Skills and/or Abilities:
- Knowledge of McGill University's financial policies and procedures is an asset.
- Knowledge of McGill fund types (or other University), including experience working with operating funds is an asset.
- Serviceoriented with excellent customer service skills.
- Proven ability to effectively communicate and interact with various levels of administrative staff and clients.
- Excellent analytical and problemsolving skills.
- Demonstrated organizational skills, ability to multitask, prioritize and meet deadlines.
- Ability to work autonomously and as part of a team.
- Knowledge of French and English. McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.

Hourly Salary:
(MUNACA Level F) $ $35.40
